World Food Programme Senior Administrative Assistant (Assets Management) Jobs in Kenya
Duties and Responsibilities:
Review assets requirements for Country Office/Area Offices, assist in identification of new requirements and review assets shelf/useful life against corporate guidelines;
Participate in preparation of assets related budgets and prepare annual assets procurement plans;
Generate regular assets reports from corporate assets management databases, review data integrity, analyze and recommend corrective actions;
Compile and prepare reports for decision making to support the effective and timely management of WFP resources;
Coordinate physical count of assets, investigate, report discrepancies and present to the Local Property Survey Board (LPSB) with recommendations for structured deliberations. Monitor the implementation of LPSB recommendations;
Ensure that any transfers of WFP property to government counterparts, cooperative partners, retailers are duly recorded in line with WFP corporate procedures;
Ensure payment for assets related supplies and/or services are processed promptly as per IPSAS requirements;
Respond promptly to Assets related queries;
Provide training and guidance to asset management focal persons on processing of asset related transactions;
Review Assets SOP and recommend adjustments / revisions;
Perform any other duties as assigned by supervisor.
Minimum Qualifications:
Education:
Experience:
Completion of secondary school education.
A post-secondary certificate in administration or other field related to office management is desirable.
Advanced certification in IT or database management and/or a university degree in Business / Public Administration would be an added advantage.
Five years of progressively responsible professional support experience in general administrative work of which at least two years must be in the field of inventory and assets management.
Language: Fluency in both oral and written communication in English is a requirement.
Knowledge:
Has demonstrated a strong understanding of administrative operating standards related to the assets management.
Excellent working knowledge of MS Excel and MS Access. Has provided coaching or training to new staff within area of expertise.
General knowledge of UN common business principles, rules, regulations and procedures and in the area of work would be an added advantage.

Duties and Responsibilities
Provide regular and updated mapping graphics of the FCS’s response as per the Humanitarian Response Plan (HRP) objective;
Prepare monthly/quarterly/annual bulletins of FCS’s partner outputs and outcomes; Preparation of the regional briefing bulletins (every 4 months); based on FSC and partner data;
Act as the focal person of sharing of information between the secretariat, cluster, regional focal points and vice coordinators;
Assist the Training Officer in the identification of training needs of partners and support the coordination of capacity building and training of partners based on identified needs;
Maintaining FSC related records;
Support VAM team in the information management of the Seasonal Analysis Response Plan (SARP) and implementation plan;
Focal point of Market and Price assessments and analysis;
Lead and participate in market assessments and monitoring as well as other joint assessments;
Support VAM unit with the necessary Geographic Information System (GIS) and mapping capability that include preparation of thematic and analytical maps;
Perform any other duties as assigned by supervisor.
Minimum Qualifications
Education
Completion of secondary school education. A post-secondary certificate in Geography and Public Administration, Monitoring and Evaluation, or Information Management is desirable.
Experience
Four years of work experience in similar areas of expertise required. Experience in development / humanitarian sector would be an added advantage.
Language
Fluency
in both oral and written communication in English is a requirement
Knowledge
Proficient in using MS Excel. MS Word, MS Power Point, and GIS software (ARCGIS, ARCVIEW, IDRIS; knowledge of relational databases and web design is desirable.

World Food Programme Driver G2 Jobs in Kenya
Key Accountabilities (not all-inclusive)
Provide reliable driving services using the assigned vehicles, for the transport of authorized WFP staff members, officials and visitors in accordance with the authorized routing following UN safety and security rules and regulations.
Take care of the day-to-day efficient maintenance of the assigned vehicles, checking oil, water, battery, brakes, tyres, etc. And ensure that the vehicle is kept clean at all times before and after travel.
Posting of assigned vehicle fuel into Fuel Management System (FMS) data base on weekly basis.
Log official trips, daily mileage, fuel consumption, and servicing done to ensure completeness of vehicle operation records.
Collect and deliver mail, documents and other items and assist in distribution of newsletters and publications, paying of office bills as required.
Meet official personnel and visitors at the airport and facilitate transport to their respective accommodation locations and/or office as required.
Take the necessary steps required in accordance with the rules and regulations in case of an accident and report immediately to the supervisor on any apparent problems, to seek for instructions and facilitate informative decisions on the way forward.
Negotiate, liaise and coordinate with local authorities to facilitate vehicle movements in designated areas.
Provide translation of basic information from the local language into the UN official language for the UN staff in the vehicle.
Perform other related duties as required.
Minimum Qualifications
Education: Completion of secondary school education. Formal drivers training with a valid driver’s license/certification to operate assigned vehicle following local rules and regulations. Qualifications in Motor Mechanic, Ms Word and Excel, First Aid or Defensive Driving will be an added advantage.
Experience: Two or more years of work experience as a Driver, preferably in an international organization, embassy or UN system with a demonstrated safe driving record. Experience in driving a variety of makes and models of vehicles, including vans, trucks and other kinds of motorised vehicles. Experience in defensive driving is desirable.
Knowledge & Skills:
Knowledge of driving rules and regulations, chauffeur protocol and courtesies, local roads / waterways and conditions, and security issues.
Knowledge of the vehicle loading capacity and other parameters.
Knowledge of driving/boat operating rules and regulations whichever applicable.
Knowledge of safety standards and safety equipment (e.g. fire extinguishers, buoyant wearable safety devices, etc.).
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Basic skills to assist in case of emergency, knowledge of first aid basic methods.
Knowledge and ability to use radio, email, telephone and other applications.
Ability to assess vehicles for mechanical fitness and skills in minor vehicle repairs.
Ability to demonstrate a client-oriented approach, high sense of responsibility, courtesy and tact.
Language: Fluency in the UN language English.
