UNON Programme Management Assistant Jobs in Nairobi
The United Nations Office at Nairobi (UNON) in the UN Headquarters in Africa and the representative office of the Secretary-General. UNON supports programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-Habitat) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org).
The post is in the Conference Support Section within the Division of Conference Services (DCS), UNON.
Within delegated authority, the incumbent will be responsible for the following duties:
Responsibilities
Provides assistance in support of planning and implementation activities/processes for, a large and highly complex component of the Division's programme/project initiatives.
Researches, compiles, analyses, summarizes, and presents basic information/data on specific programmes/project and related topics.
Assists in the preparation, analysis and coordination of programme/project proposals for automated statistical reports for the Division's performance management and reporting, ensures that the requisite information is included and justified in terms of proposed activities;
Proposes adjustments as necessary; prepares reports and ensures that project documents are completed and submitted to relevant parties for approval and that outputs/services are properly categorized; monitors status of programme/project proposals.
Assists in the monitoring and evaluation of programmes/projects;
Categorizes, updates, tracks and analyses data related to programmes/projects e.g. existing reporting systems and monitors outputs, resources utilized, deviations/revisions, etc.; carries out periodic status reviews, identifies issues and initiates requisite follow-up actions.
Collaborates with programme/project managers on performance reporting;
Liaises with relevant parties on the interpretation of the activities/services scheduled in the Division's work plan and various planning instruments such as the biennial programme plan and internal work plans; provides assistance on reporting requirements, guidelines, rules and procedures and ensures completeness and accuracy of data submitted.
Serves as focal point for coordination, monitoring and reporting of programme/project implementation activities, involving extensive liaison with a diverse organizational units within and outside the duty station to initiate requests, prepare standard terms of reference against programme/project objectives, obtain necessary clearances, process and follow-up on administrative actions and resolve issues related to project implementation, Prepares, maintains and updates electronic files and internal databases;
Designs and generates a variety of periodic and ad hoc reports, statistical tables, graphic content, and other background materials/notes to facilitate inspection and other reviews.
Drafts correspondence and communications related to all aspects of programme/project administration, including work plans, revisions and other related issues, as well as prepares the Section’s contribution for a variety of periodic reports.
Performs other relevant duties as assigned.

Education
High school diploma or equivalent is required.
Supplemental training in statistics, information management, project/programme management or business analytics and reporting is required.
MUST have passed the United Nations Administrative Support Assessment Test (ASAT) or the Global General Service Test (GGST) at Headquarters or an equivalent locally-administered test at Offices away from Headquarters.
Work Experience
A minimum of seven (7) years of working experience in programme or project administration, statistics, monitoring and reporting or related area.
Progressive working experience in business analytics and/or performance reporting is required.
Experience in statistics and data visualization tools is desirable.
Mastery of MS Office, SQL, PowerPoint and/or Business Intelligence will be added advantage.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.
Knowledge of another UN official
language is an advantage.
Assessment
Evaluation of qualified applicants may include an assessment exercise which will be followed by a competency-based interview.
Special Notice
Appointment against this post is on a local basis. This post is funded for an initial period of one year and may be subject to extension.
External candidates will be considered only when no suitable candidates from the duty station are identified. The candidates are responsible for any travel expenses incurred in order to take up the appointment.
