The Country Office also supports programmes that use food assistance to empower women, transform areas affected by climate change and keep children in school. It aims to contribute to Ethiopia’s five-year development agenda, the Growth and Transformation Plan (GTP), through which the Government combats food insecurity.
Organization ContextThis position is located in WFP Ethiopia Country office based in Addis Ababa. The incumbent under the direct supervision of the Head of Engineering unit will be responsible for the accountabilities identified hereunder.
Job PurposeTo deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.
Accountabilities:
Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
Respond to standard queries and provide timely and accurate guidance.
Process and manage routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
Manage and maintain records and databases, to ensure information is organized and readily available for staff.
Maintain relationships with a range of individuals through provision of business support to assist in information sharing and service delivery to staff.
Proof-read reports, documentation, correspondence, etc., making changes in line with established guidelines where appropriate.
Contribute to improvement of business procedures and processes.
Collect and perform basic analysis of
data to contribute to quality business information management.
Provide guidance to junior colleagues in performing their duties.
Perform other duties as required.
Other Specific Job Requirements:
Financial Housekeeping: Keeping a tracker of incoming and outgoing payments, funds TDD and TOD, ensuring health checks of the financial status of projects on a monthly basis, confirming and verifying payments;
Project Planning: Developing and maintaining a high-level project planner for the Engineering Unit and updating weekly at the weekly meetings. Ensuring all staff have submitted their weekly planning
Human Resources (HR): Maintaining the Engineering Units (EngU) HR trackers and leave planning schedule;
Document Management System: Ensuring compliance of the EngU document management system, issuing project numbers and creating project folders. Updating files to the HQ shared files folder. Also ensuring that site files are correctly submitted, approved and filed.
Compliance check: Audit check on project managers to ensure they are in compliance with the new Construction Manual launched by HQ which is now mandatory to respect.
Quality Control – ensuring general implementation of the EngU Quality Control guidelines
General Admin: Taking minutes at meetings, following-up on shipments with relevant units, organizing the EngU asset list/inventory including power tools, generators, cameras, safety equipment etc.
Job Requirements
Standard Minimum Academic Qualifications:
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Knowledge and Skills:
Knowledge of specialized common business practices and methods gained through relevant technical training and experience.
Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
Ability to carry out basic data analysis and independently rectify problems requiring attention.
Ability to monitor and record financial transactions.
Good communication skills required to give and receive information and work with a variety of individuals.
Ability to maintain confidentiality.
Language: Fluency in both oral and written communication in English. Knowledge of the local language is added advantage.
