Org. Setting and Reporting

The United Nations Human Settlements Programme (UN-Habitat) is the lead United Nations agency for cities and human settlements. The agency is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all and sustainable development.

The main documents outlining the mandate of the organization are the Vancouver Declaration on Human Settlements, the Habitat Agenda, the Istanbul Declaration on Human Settlements, the Declaration on Cities and Other Human Settlements in the New Millennium, and UN General Assembly Resolution A/56/206.

UN-Habitat, being the focal point for all urbanization and human settlement matters within the UN system, has a role in delivering the 2030 Sustainable Development Agenda, adopted by Member States in 2015, specifically goal 11: make cities and human settlements inclusive, safe, resilient, and sustainable.

This position sits in the Knowledge and Innovation Branch of UN-Habitat, Nairobi duty station under the Information Management functions. Information Management staff provides tools and systems to offices for effective management and use of information and knowledge.

The office is responsible for implementing UN-Habitat Archives and Records Management (ARMS) policy through identification, preservation and provision of access to those records that document the history of UN-Habitat including implementation of electronic records management system, management of intranet content, and provision of virtual Library Services.

The Information Management Assistant will report to the Information Management Officer and will be responsible for the following duties:

Responsibilities

Archives and Records Management

• Undertakes assistance in Information Management duties of UN-Habitat.

• Provides standard and ARMS-specific applications support and applications/LAN troubleshooting for Section staff.

• Conducts end-user training relating to standard electronic record keeping systems at UN offices.

• Manage content on developed information and knowledge management tools.

• Posts records in electronic record keeping system and assist staff with retrieval.

• Supports Section’s paper-based and electronic central file system by creating new folders, applying disposition instructions and tracking file circulation.

• Participates in records management projects at UN-Habitat including implementation of Unite Workspace

• Assists in accessioning, disposition, description, and database updating activities as they relate to Section records-related projects.

• Satisfies requirements for the procurement, payment and inspection of goods and services using IMIS applications.

• Supports disposition operations by liaising with records-originating offices on transfer procedures and documentation; and analyzes retention schedules and precedents in support of disposition decisions.

• Creates and maintains manual accession records and provides information to other Section staff in support of reference and archival arrangement and description activities.

• Oversees internal records retrieval, loan, reproduction and staff clearance operations.

• Participates in maintaining the Section’s reference database.

Documents

• Liaises with staff in different UN-Habitat offices to support records transfer to the Archives and post documents on Habnet as required

General

• Conducts research as requested by UN-Habitat staff.

• Provides relevant technical support to users of information services.

• Provides training on developed systems to UN-Habitat staff as
required

• Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

• Assists with visualizations and updating information material such as web pages or brochures.

Professionalism:

Knowledge of electronic record keeping and relevant information systems and networks. Ability to undertake research, maintain records in a systematic fashion and to retrieve necessary materials with maximum speed and accuracy. The ability to perform analysis, modeling and interpretation of data in support of decision-making.

Education

  • Completion of High school diploma or equivalent is required. Additional qualifications in information management is desirable.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.

  • The GGST is administered to applicants when required before the administration of a written assessment and/or interview.

  • Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social Commission for Western Asia (ESCWA), United Nations Office at Geneva (UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be accepted in lieu of the GGST.

    Work Experience

  • A minimum of five (5) years of progressively responsible work experience in modern archives management, record keeping, library, information/knowledge management or related area is required.

  • Experience with electronic record-keeping systems and content management systems is required.

  • At least 3 years of progressively responsible work experience with web content management is required.

  • Experience with records appraisal and application of disposal schedules is desirable.

  • One (1) year or more of experience in data management or related area is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For this post advertised, fluency in oral and written English is required.

  • Knowledge of another official United Nations language is desirable.
