United Nations Environment Programme Project Administration Officer Jobs in Ethiopia
Duties and Responsibilities: 1. Operational support I. Assist in coordination of project activities with the MEA Coordinator,
II. Developing terms of reference for consultancies under the guidance of the coordinator,
III. Maintain and keep (original) donor and partner-related documentation of the project (e.g. correspondence, donor reports),
IV. Make follow-up with Regional Economic Communities and Partners on the support to the project including reports,
V. Ensuring all necessary project evaluations are carried out, including provision of evaluation guidance to the MEA Coordinator, follow-up reminders, review of draft evaluation reports, raising necessary issues to the MEA Coordinator, ensuring management responses are prepared on time and all evaluation reports and management responses are submitted to AUC and UNEP,
VI. Establish and undertake a proper and updated filling system for MEA III project of the AUC,
VII. Sets up and monitors the budgets, updates financial information on delivery and status of implementation of the projects,
VIII. Facilitate internal and external communication on the MEA III project, IX. Developing talking points for meetings,
X. Developing knowledge management products and media engagement for visibility of the project,
XI. Coordinate the submission of the monthly and quarterly progress reports to all relevant MEA III partners of the AUC,
XII. Carry out any other administration related work as may be assigned by the MEA Coordinator
2. Facilitation, travel and meetings logistics I. Administrative support for meetings and consultations including preparation of documents for meetings such as Steering Committee, Regional Stocktake meetings, workshops and any other engagement under the project,
II. Manage the travel logistics of the MEA Coordinator and other project partners as necessary,
III. Maintenance of the internal expenditures control system which ensures that payments are processed, matched
and completed and transactions are correctly recorded,
IV. Prepare financial accounting and acquittals,
V. Assists in Procurement process for the project,
VI. Assists in meetings, drafts minutes and correspondence as requested and maintains accurate records of meetings,
VII. Assists in ad-hoc Practice administrative and operational issues as requested.
3. Client Relationship Management VIII. Act as public-facing point of contact for the MEA III project as a liaison with other partners as necessary, IX. Manage and respond to correspondences on the Project, X. Provide both internal and external clients with timely and adequate support/ information on the project activities.
Qualifications/special skills A University degree in Accounting and Finance, Environmental Sciences, Business or Public Administration, International relations and Diplomacy or a related field is required. 5 years of progressively administrative or programme experience is required at the national or international level.
Experience in working in International and or Intergovernmental Organisation would be an added advantage.
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
