Responsibilities
Under the supervision of the Administrative Officer/NOA, within the Administrative Shared Services for Kenya Country Office and Regional Office, the post manages transport services which include dispatch of office vehicles, fuel management and processing all invoices related to transport services.
Receives requests for transport from RO and KCO and assigns appropriate means of transport from the UNICEF vehicle pool or outsourced car hire based on the most cost-effectiveness within the set standards operations procedures.
Brings to the attention of the supervisor any abnormalities in the use of transport paid for by the organisation and proposes corrective measures.
Makes hotel reservations and necessary logistic arrangements for conferences /workshops related to RO and KCO activities.
Supervises a pool of UNICEF drivers and follow-up on the usage of office vehicles, ensures that drivers are fully conversant and adhere to UNICEF driving rules and procedures for their safety and that of their authorised passengers. Liaise with relevant staff in charge of vehicles repair and maintenance to ensure that any defect is timely reported and repaired and that vehicles and serviced as per recommended schedule.
Manages fuel and generate monthly fuel consumption per vehicle and brings to the attention of supervisor and Administrative Specialist any abnormality on the consumption pattern of any vehicle.
Process for payment all invoices related to transport services.
Any other duty that may be
assigned by supervisor for the achievement of office objectives
Qualifications:
Secondary School Education or A level.
Experience: At least 5 (five) years of experience in general administrative work including fleet management.
Language requirement: Knowledge of English and a local language (Swahili) is an asset.
