Org. Setting and Reporting

The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations System and serves as an authoritative advocate for the global environment.

The overall objective of UNEP's Economy Division is to encourage decision makers in government, local authorities and industry to develop and adopt policies, strategies and practices and technologies that promote sustainable patterns of consumption and production, make efficient use of natural resources, ensure safe management of chemicals and contribute to making trade and environment policies mutually supportive.

It promotes the development, use and transfer of policies, technologies, economic instruments, managerial practices and other tools that assist in environmentally sound decision making and the building of corresponding activities. The Programme Assistant will assist with the implementation of the global electric mobility project.

The position is located in the Economy Division, Chemicals and Health Branch, Sustainable Mobility Unit (http://www.unep.org/transport/) at the UNEP Headquarters in Nairobi, Kenya. Under the general supervision of the Head, Sustainable Mobility Unit, and the direct supervision of the Programme Officer, Electric Mobility Programme, the incumbent will be responsible for the following duties:

Responsibilities

  • Assist in the coordination of electric mobility programme/project planning and preparation work, monitor status of programme / project proposals and receipt of relevant documentation for review and approval.

  • Compile, summarize, and present basic information/data on the electric mobility programmes /project and related topics or issues.

  • Review project documents especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval.

  • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system.

  • Compile, summarize and enter data on project delivery; draft related status reports, identify shortfalls in delivery, budget overruns, and bring to the attention of management.

  • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets.

  • Provide general office assistance; respond to complex information requests and inquiries; review, logs and routes incoming correspondence; set up and maintain files/records; organize meetings, workshops; handle routine administrative tasks, such as maintaining attendance records, assessing telephone billing.

  • Provide guidance/training to new/junior staff.

  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and
    decision making.

  • Assists with visualizations and updating information material such as web pages or brochures.

  • Perform other duties as may be assigned.

    Competencies

Understanding of the functions and organization of the work unit and of the organizational structure and respective roles of related units.

    Education

  • High school diploma or equivalent is required.

    Job - Specific Qualification

  • Additional training in Environment Studies, Environmental Sciences, Environmental Policies, Engineering, Economics or related field is desirable.

    Work Experience

  • A minimum of five (5) years' work experience in programme or project administration or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher.

  • Experience working with an Enterprise Resource Planning (ERP) system is required. At least two (2) years of work experience in implementing sustainable mobility projects /programmes is required.

  • Experience working on electric mobility projects is desirable.

  • Experience working with an international organization is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
