Background & Purpose of Assignment The position will be based in Dollo Addo, Ethiopia The role of the position will be to coordinate and manage WFP travel activities and provide technical advice on travel and asset management in accordance to WFP Corporate rules. The successful candidate will report directly to the Administration Assistant, under the overall supervision of the Head of Sub-Office.
Key Accountabilities (not all-inclusive)
Verify resource requirements in area of responsibility (WFP facilities, assets, etc.), and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.
Support the production of various data and compile and prepare reports related to travel and asset management as required.
Adapt and update administrative processes, supporting the implementation of operating procedures, to contribute to the continuous improvement of administration services in area of responsibility.
Answer a range of queries related to the provision of administrative services to support the resolution of daily issues. Review all travel documents ensuring they are in line with the approved Travel Authorizations (TAs)/Long Term Agreements (LTAs) and other relevant documents.;
Provide guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients.
Ensure WFP’s administrative Travel Rules and Regulation are fully and properly accounted for and that internal control systems are adequate and functioning.
Oversees the travel unit ensuring efficient and timely delivery of services to staff.
Disseminate and circulate guidance and new updates related to Travel regulation to all staff.
Ensure all Travel Expense Claims (TECs) and Process Rest and Recuperation (R&R), advances, danger pay, and medical evacuations and travel are in compliance
with WFP rules.
Review all outstanding commitments (over 30 days) and take appropriate action
Review accuracy of all invoices submitted to WFP by the Travel Agent.
Assess and monitor regularly travel expenditure of Units and prepare monthly travel report and TEC tracking sheet including the monthly statistics of all tickets purchased by the Sub-Office.
Update, maintain and compile of Travel statistics in database.
Supervise coordination of in Sub-Office workshops/meetings.
Perform other duties as required.
Standard Minimum Qualifications
Education: Completion of secondary school education.
Experience: Four years of progressively responsible work experience, including at least three years in administration. Experience in travel and asset management is a must.
Knowledge & Skills:
Knowledge of specialised administrative work practices and methods, gained through relevant technical training and experience.
Good communication skills and good understanding of Administration principles and their application.
Ability to build relationships with a variety of individuals across functions and outside WFP to effectively contribute to the functioning of the unit.
Ability to plan, coordinate and prioritize multiple tasks; work with minimum supervision and use initiative to perform administrative tasks within broad WFP guidelines and standards.
Ability to write and present reports.
Ability to offer guidance or basic on-the-job training to more junior staff.
Proficient in the use of office equipment and computer software packages, such as Microsoft Word, Excel, Powerpoint, Outlook is a must.
Understanding of WFP administrative operating standards related to the travel/asset management is a plus.
Language:
Fluency in both oral and written English and other Ethiopian regional languages is a must.
