UN Editorial and Desktop Publishing Assistant - French - Jobs in Kenya
The United Nations Office at Nairobi (UNON) in the UN Headquarters in Africa and the representative office of the Secretary-General. UNON supports programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-Habitat) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). The post is in the French Translation and Text Processing Unit, Translation and Editorial Section, Division of Conference Services (DCS), UNON.
Responsibilities
Performs supervisory functions of the Desktop Publishing Team
Ensures proper planning and work distribution within the Team and the coordination of contractual assignments coming out of the Unit
Ensures the proofreading, formatting, alignment and other related tasks for all documents assigned to the Team and their timely issuance in accordance with quality standards, and updates electronic tracking system accordingly
Ensures coordination and harmonization of work methods with other TPUs as appropriate
Assists the Chief of Unit and provides him/her with information on document flows, capacity within the Team, contractual capacity and workflows, and any other relevant information. Performs administrative work, as needed
Assists the Chief of Unit in preparing meeting timetables
Assists other translators in the Unit and provides them with information as necessary for ensuring the quality and timely issuance of jobs
Organizes, plans, controls and co-ordinates the work of a particular shift with respect to the production of camera-ready documents for reproduction and storage of final text in the appropriate storage system
Ensures smooth continuity of work from night to day shift and vice versa; prioritizes work to be continued and gives special instructions as needed.
Registers incoming/outgoing documents in order to control flow of work in and out of unit
Performs daily maintenance of the Unit’s network drives
Ensures proper use of the Team’s tools and compliance with DGACM-wide work methods
Trains and guides junior support staff
Performs other duties as may be assigned.
Requirements
Knowledge of UN structure and rules of procedure of various organs.
Knowledge of all aspects of the work of the unit, including typographic standards and documents production system.
Proficiency in the language of the unit and in United Nations terminology and editorial practices.

Technological Awareness: Keeps abreast of available technology; understands applicability and limitation of technology to the work of the office; actively seeks to apply technology to appropriate tasks; shows willingness to learn new technology.
High school diploma or equivalent. Must have passed the United Nations specialized tests, i.e. grammar, verbatim, formatting and speed typing in French.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.
A minimum of seven (7) years progressively responsible experience in desktop publishing, including draft typing, copy editing, proof-reading and typographical layout or related area is required.
English and French are the working languages of the United Nations Secretariat. For the post advertised, candidates must have French as their main language with proficiency in spelling and grammar. Fluency in oral and written English is required; knowledge of another official United Nations language is an advantage.
