An upcoming tours and travel Company is looking to hire a reservations officer who is dynamic, well-qualified, self-motivated, ambitious and highly customer oriented young professional to join their team.
Role Purpose:
The purpose of the role is to receive calls from customers interested in travel and accommodation services, managing travel requirements made for business and holiday trips, advising clients on best destinations best on their individual needs, providing tourism related services and package tours on behalf of our suppliers.
The overall goal is to keep clients satisfied and loyal for future repeat and referral services.
Duties and Responsibilities
Plan and sell transportations, accommodations, insurance and other travel services
Cooperate with clients to determine their needs and advise them on appropriate destination, modes of transportations, travel dates, costs and accommodations
Provide relevant information, brochures and publications (guides, local customs, maps, regulations, events etc.) to travellers
Book transportation, make hotel reservations and collect payment/fees
Come up with and Use promotional techniques and prepare promotional materials to sell itinerary tour packages
Deal with occurring travel problems, complaints or refunds
Attend travel seminars to remain updated with tourism trends
Enter data and maintain client files
Network with tour operators
Meet profit and sales targets
Developing strategies to hit or exceed sales targets, regardless of the size of the outlet or products offered.
Making contact in advance with places to stay or visit to check details and arrangements by liaising with travel partners, including airlines and hotels, to manage bookings and schedules, often in advance.
Managing budgets and maintaining statistical/financial records and writing report
Organize travels from beginning to end, through booking tickets and accommodation, securing rental transportation etc.
Constructing tailor-made travel itineraries using an in-house booking system.
Responding to inquiries regarding hotels & safaris within 24hrs
Create and sell innovative tour packages to meet market demand
Prepare itineraries to the various destinations of interest
Doing tour bookings both inbound and outbound
Ensuring KWS park rules & hotel regulations are made clear to tourists
Ensuring payment for each tour booking is received in advance or proper authorization is received from a corporate prior to credit sale
Creating contact with hotels, sightseeing attraction and other service providers for best competitive contract rates
Ensure bookings that do not mature are cancelled in time to avoid cancellation penalties especially for hotels
Ensure clients’ special requests especially on accommodation & room specification, driver guide language, meals and others are pre-arranged
Making follow-ups for tour quotations
Ensuring that tours quotations are competitive
Inclusions, exclusions as well as terms & conditions of a quotation should be highlighted to reduce disputes with clients
Sourcing and preparing tender documents for corporate clients such as government institutions and ministries.
Any other duty as may be assigned from time to time.
Minimum Requirements
Proven work experience as a travel agent
Excellent knowledge of computer reservations systems and e-travelling
Fluency in English; multilingualism is a plus
Strong sales skills and commercial awareness
Ability to interact, communicate and negotiate effectively
Sound knowledge of domestic and international travel trends
Diploma in Hospitality, Travel, Tourism, Business or relevant field
Personal travel experience will be considered an advantage
