Job SummaryThis is one of a key position in the structure of the organization.
The Finace coordinator is responsible for planning, coordinating, establishing and maintaining financial management policies and procedures for sponsorship and grants as well other funds remitted to the organization by Donors/any other source.
He/she ensure timely, accurate and useful financial information production and provide technical support for organization manager and other staffs.
He/she is responsible to ensure that organization’s financial management in compliance with all regulatory requirements as relating to the SBCFDCO’s, donor(s) and national government financial rules and regulations, and/or requirements in conjunction with the Project and program staffs & Organization Manager/excutive director.
Responsibilities and Tasks
Manage and reconcile all financial transactions appropriately in line with polices, procedures of the organization and donor/government requirments
Monitor all financial transactions and recommend ways to increase organization effectiveness/efficiency
Ensure timely recording for organization asset, liability, revenue, and expenses entries by compiling and analysing account information.
Develop and maintain a database of records to ensure smooth transaction for all financial processes and provide perdic and regular update for the manager/excutive director
Coordinate with grant officer and casher/accountant cashier for effective execution of organization proper financial transaction
Follow up and ensure staff benefits are properly planned and implemented in accordance with organization HR, Financial manual and government polices
Ensure general ledgers, post journal entries,recoreded,reconcieled properly and preparation of financial statements
Ensure and strengthen timily liqudation of advances / reciveabiles, internal control of bank reconciliation as well as DFC pyment reconciliation to be done regularly every month and approved by Manager
Prepare schedules and facilitate for quarterly reviews and year-end audit to be completed by 1st two months of after end of the budget year for independent external auditors
Assist external audit by analysing and scheduling general ledger accounts & provide timely information
Ensure and follow up all Tax related documents are setteled with in two weeks of the following months and take immidate action for any delay in settlent
Ensure and follow up daily financial records for proper documentation and monitoring of internal controls
Secures financial information by completing database backups and ensure the back up is regularly
done and properly placed on secured environment
Protects organization's value by keeping information confidential.
Follow-up monthly FRF and grant transferred confirmation and prepare finacial reports to donor/Gov.bodies
Ensure and check the budget balance before signing any financial requesit raised from program and admin staffs and closely work with the organization mangager/excutive director.
Supervise and appraise finance staff and provide support, training and advice as required,
Ensure proper internal rules and regulations are in place for efficient and effective management of the financial resources;
Create clear, accountable and uncorrupted procurement system through supporting and directing the process in line with the organization procurement manual
Ensure all fixed assets properly tagged, registered and updated quarterly as well as timely annual inventory
Control and follow up staffs under supervision to abide by the organization HR and procurement polices
Sign Cheque with either with the organization manager
Facilitate Annual Operation and Budget Plan(AOBP) preparation
Perform other duties as assigned by the Manager/excutive director.
Job Requirements
Minimum Requirement
Qualification and Experience
BA/MA Degree in Finance and/or Accounting plus 7 years or above work experience; 3 years in NGO work experience is preferred. Technical Knowledge/Skills and Competencies Required:
Well versatile with advanced accounting software such as Peach tree, accounting guidelines & Principles; International Public Sector Accounting Standards(IPSAS) training is advantageous.
Effective communication and attention to quality
Good report writing skill
Customer care and flexibility
Good monitoring and Evaluation skill
Team work & work integration.
Candidate who have IPSAS training certificate is preferred
