Job DescriptionJob Summary Samaritan’s Purse is looking for energetic and motivated Fleet and Warehouse Officer.
The officer will be responsible providing logistics support in terms of Fleet and warehouse management for SP’S West Guji Program.
Work with other members of the logistics team to develop and implement efficient logistical support systems for SP in a complex operation.
Key Responsibilities
Warehouse
Ensure the safe reception, storage, dispatching and reporting of movements within the warehouse and the stock is managed according to the SP Warehousing and Stock Management Standard.
Maintain records of daily workers, schedules tasks, provides payments and ensures tasks are completed as planned.
Monitor documentation entries for receiving and dispatching of goods assists with entries for stock movements.
Ensure stock discrepancies/damages are documented, investigated and reported to Budget Holders / Logistics Coordinator
Creation of Bin cards, stock cards and entry of the data after each movement or counting.
Ensure filing of updated information and carries out spot checks.
Keep the stock reports up to date.
Travel to field sites to receive and inspect goods delivered directly to the field;
All other activities to ensure the smooth warehouse operation;
Interact with suppliers in the receiving and inspection of goods – issues GRNs.
Maintain bin cards on each item in the warehouse;
Maintain physical and electronic copies of the inventory
Liaise with Line Management and program teams regarding generation and dissemination of reports as necessary
Assets & Equipment
To ensure that all SP assets and equipment are registered in the Mosul office and guesthouse.
To manage SP assets in West Guji and maintain the assets register.
To maintain the Equipment Inventory Spreadsheet.
Track all asset and equipment movements
TRANSPORT – Staff & materials
Ensure rental vehicle fleet, rental drivers or SPE drivers comply with SP vehicle and drivers policies and that an effective fleet management system is established with minimum risks to SP.
Regular meeting with drivers and update all security related issue with support of security officer.
Regular update of vehicle usage and check the documents and preparing payment pack and submit to finance on time.
Daily sharing vehicle management plan for programe team through security officer.
Supervising and planning vehicle allocation in order to optimally serve the needs of the program.
Ensure proper check of vehicles before engaging them to work with SP in order that all required health
and safety standards are met.
Maintain records of both rental and SP vehicle and drivers licences for security and legal compliance purpose
Make a cross check for each vehicle in teams of fuel level, cleaning of vehicle, first Aid items and security related things.
Ensure drivers adhere to, and respect the SP laid down vehicle policies and Procedures.
Job Requirements
Education / Experience Needed
3 years related experience and/or training; or equivalent combination of education and experience in a Fleet and Warehouse Field.
Experience in an NGO or similar environment, including significant field operations experience running both emergency and development programs.
Skills Required
Fluency in English language
Ability to coordinate activities with other agencies, build and maintain positive working relationships.
Ability to understand complex security situation and advise program design accordingly.
Possess ability to analyse information to develop a complete picture of security situations.
Ability to communicate and interact well with people of different educational, linguistic, cultural and socio-economic backgrounds.
Reasoning Ability
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral diagram, or schedule form.
