Overall RoleMaintains property rentals by advertising and filling vacancies; negotiating and enforcing leases; maintaining and securing premises; overseeing general maintenance and repairs; as well as coordinating all service agreements.
Responsibilities
Letting Management
Design and document a comprehensive letting strategy sensitive to asset type & class and geographical zone.
Design and document letting agent guidelines, scope of works and compensation matrix.
Secure a professional and reliable network of letting agents and vendors.
Coordinate efficient letting processes.
Negotiate with tenants and liaise with lawyer to sign leases.
Establishes letting rate by surveying local letting rates, calculating overhead costs, depreciation, taxes, and profit goals.
Attracts tenants by advertising vacancies, obtaining referrals from current tenants, explaining advantages of location and services.
Prepares units for showings and shows units with prospective tenants and their agents.
Lease Management
Design and document a comprehensive lease management strategy that ensure leases are adhered to and rent collection is optimized.
Design and document property manager guidelines, scope of works and compensation matrix.
Shortlist and recruit competent property managers and oversee timely and efficient lease management.
Maintain updated & effective lease records and property operation records.
Maintains property by investigating and resolving tenant complaints, enforcing rules of occupancy, inspecting vacant units and completing repairs, planning renovations, contracting with service providers.
Continuously study the market to ascertain our letting rates are at or above market.
Responding to emergencies and being available on weekends and evenings.
Enforces occupancy policies and procedures by confronting violators.
Facilities Management
Design and document a comprehensive facilities management strategy that ensure the properties are well maintained and tenants are satisfied.
Maintain property status records through routine checks, reviewing tenant complaints, inspecting vacant units.
Maintains building systems by contracting for maintenance services and supervising repairs.
Secures property by contracting with security
patrol service, installing and maintaining security devices, establishing and enforcing precautionary policies and procedures.
Secure a professional and reliable network of trade vendors and general contractors.
Coordinating timely and efficient repairs and renovation, including sourcing all the necessary permits and licenses.
Forecast, propose and budget for tenant improvements and capital expenditures.
Maintain efficient facilities management records by property and unit.
Land Sourcing
Secure a professional and reliable network of land agents.
Coordinate land sourcing activities tied to the company’s strategy.
Maintain efficient record keeping of shortlisted lots.
Person Profile
Demonstrated property-letting and facilities-management skills. Must have at least 5+ years’ experience under a competent property management company.
Strong research skills required to collect and analyze market, competitor and industry information, establish facts and interpret an extensive array of information to draw conclusions, prepare and defend recommendations.
Demonstrated knowledge of the real estate market.
Demonstrated network of professional and reliable service providers.
Excellent organizational and people management skills.
Energetic, ambitious and proactive.
