General Position SummaryThis position will provide support to the cluster in all accounting works including but not limited to the following.
Jobs Responsibilities
Follow up and adhere to the internal controls for all financial matters at the station.
Participate in drawing of cluster activity work plans
Participate in the generation of Cluster activity budgets in SHAREPOINT (in relation to the set targets) and follow them up to ensure that they are approved.
Prepare activity money requisitions & advances in SHAREPOINT and follow them up to ensure that they are approved.
On a daily basis pay out money to the respective field staff to support activities
On a daily basis collect accountabilities & supportive documents from field staff for implemented activities for attachment on accountabilities.
Review accountabilities & support documents to ascertain their authenticity before submission. Then reject +/- report all fake accountabilities for appropriate correction.
On a weekly basis, prepare a report on the funds received in the cluster showing those dispersed to the field teams, those accounted for and those whose accountabilities are pending with the names of staff delaying accountability.
To ensure proper record keeping and document transfer at the cluster.
Ensure proper storage of financial accountability documents for the period they are still at the cluster office.
Compile and analyze financial information to prepare entries, such as payments,
data entry, general ledger accounts and all financial related transactions.
Facilitate both external and internal audits at the field station.
Receive accountabilities and ensure cash balances are receipted and banked intact and promptly and enter respective data in the system. provide technical support in relation to financial matters.
Perform cash and petty cash counts and prepare cash certificates
To maintain the cluster Asset Register
Any other duties assigned by the supervisor.
Knowledge and Experience
Bachelor’s degree in business administration, finance/accounting or related course.
A minimum of two years relevant work experience
Basic accounting and bookkeeping skills
Knowledge of MS Excel, Word, and other common financial software programs
Excellent communication and interpersonal skills; strong writing and verbal skills
Ability to consistently and innovatively complete multiple tasks in a timely manner
And ability to work independently or with minimal supervision
