Purpose of Position:To provide strategic financial management for the organization by ensuring that there is sound, comprehensive financial management system and control. He/She advises on investment plans, monitor the company's finances, pay roll, investments and produces financial reports. He/She works closely with management to develop and implement strategies and plans to achieve the company's long-term objectives.
Principal Accountabilities:
To provide strategic financial management for the organization to ensure that organization is financially up right and adheres to PSFU & donor funding requirements and reporting guidelines.
Ensure a strong resource stewardship
and funds control environment and culture exists by ensuring that staff adheres to financial policy in place.
Staff adhere to finance policy and
procedure.
Maintain overall budget control and
ensuring proper cash management by monitoring cash flows and forecasts, support Director Finance in overseeing budget and monitoring of direct and
shared costs, provide cost analysis and through Director Finance, make recommendations for determining effective resource utilization and no
budget deficit
Support Director Finance in managing
internal and external financial risks, highlighting the risks to the Director Finance to resolve relevant issues with EXCO,
By implementing and maintaining strong
mechanisms e.g., segregation of duties, advance register and monthly bank reconciliations and surprise cash counts.
Works closely with the organization’s
teams to identify and implement business process improvements.
Budgeting and budget monitoring and control
n consultation with other staff, support Director Finance in preparation/consolidation of the organisation budget for Board approval and ensure that all expenses are incurred according to
budget.
By ensuring that funds are spent only
on the purpose for which it is intended.
Facilitate monthly Budget versus Actual reporting/ Measuring financial status (e.g., plans versus costs) by conducting periodic Secretariat and project budget reviews and sharing information with the Director Finance and Department/Project Heads on budget performance especially on budget variances.
Prepare forecast of income and expenditures in coordination with Department /Project Heads to form part of Board reports.
Understand, interpret, and apply
knowledge of funding /sponsor financial guidelines, policies, and grant agreement/contract terms.
Produce timely and accurate financial
and operational reporting and analysis that provides actionable insights to the business!
Preparation of financial reports and
provides timely, accurate and complete feedback/inputs to the Director Finance who in turn shares with COO/CEO and the Finance Committee for efficient decision making and keeping them abreast with the financial health and
performance of the organisation.
By preparing timely and accurate management accounts (financial reports) on monthly basis for EXCO and quarterly basis for the Board that includes:
Funding and cost projections for Secretariat /project spend plans.
Periodic analysis on budget execution reports (Budget Vs Actual
Monthly Revenue projections and cashflow analysis and reviewing costreduction strategies.
To keep all accounting records to ensure that they are available for records purposes and audit trails.
By ensuring that all accounting records /documents are filed
in a secure place for reference purpose.
By ensuring that Accountants enter accounting data regularly into the accounting system to produce timely, accurate and reliable financial reports.
To ensure that Payment to suppliers; consultants and staff are made on time to keep good supplier/client relations.
Ensure that suppliers and consultants
are paid on time by timely reviewing of
request for payments for supporting documents.
By ensuring that cheques/online
payments are authorised/signed on time.
By ensuring that staff salaries are paid
on time as per Human Resources policy manual.
To coordinate and manage all organisation audits and all other statutory requirements
By preparing year end accounts on time for the audit to be carried out within three months after the financial year end.
Coordination of all audits by providing
all information that needed by the auditors to execute their work.
By responding to all audit queries on
time to enable auditors complete audit on time.
By preparing audit management
responses to audit findings and recommendations.
Ensure appropriate measures are taken
to address audit findings and recommendations.
By deducting(withholding) and
remittance of all statutory taxes to the relevant authority/ agencies all taxes.
Supports external financial, statutory,
and regulatory audits.
Qualification and Experience
Education
Must be a holder of professional qualification e.g., ACCA, CPA.
Bachelor’s degree in Finance / any related field or its equivalent
Experience
7 or more years working experience in similar position with a minimum of three
years in a management position.
Knowledge and Skills:
Knowledge in financial management with International reputable organisations, at the level of Finance & Administration Manager.
Should be equipped with knowledge of Generally Accepted Accounting and Auditing Principles and Laws, rules and regulations related to accounting.
Should be a leader and team player in planning at strategic level, with special expertise in budgeting & forecasting, management reporting, treasury management, expenditure control and general maintenance of accounting records, with a good working knowledge of financial reporting standards.
Analytical and detailed oriented with proven record of developing and implementing financial policies and procedure guidelines that improve the
internal controls, efficiency, and accuracy.
A reliable worker with the ability to effectively multitask and meet critical deadlines.
Microsoft office Word, Microsoft Office Excel, Microsoft Office Power point.
Accounting Software: Must have used accounting software but knowledge of ERP SAP is an added advantage.
