Dimensions of the Role

Reporting to the HR Manager, the HR Coordinator will support and contribute to the attainment of the overall strategic business plans and objectives of the human resource function.

The incumbent will be in charge of staff compensation and benefits so as to ensure staff have access to benefits and that the organization remains competitive in the labour market.

In addition, the incumbent will provide administration of the Employee Central (HRIS) system to ensure staff have access to HR systems and that the information on the system is up to date.

Accountabilities

Compensation and Benefits Administration:

Medical administration and staff care (30%)

  • Ensure timely enrolment and deletion of staff onto relevant benefits including medical, GLA/ GPA/WIBA and pension.
  • Provide regular support to ensure staff access to benefits and maintain up to date records on usage.
  • Regular follow-up on medical claims/ reimbursement to staff.
  • Capacity build and provide regular updates to staff on use and administration of various insurance benefits.
  • Ensure timely monthly replenishments of the outpatient fund and monitor usage and submit a monthly medical deductions statement.
  • Ensure regular engagement with the insurance brokers to ensure the service provided is of high quality.
  • In liaison with the Brokers, organize an annual Wellness Day for all staff.
  • Review of the performance of insurance schemes and share periodical reports with the management.
  • Ensure timely renewal of the insurance schemes.
  • Create awareness and facilitate stress management education.
  • Make assessments of staff and teams that require psychosocial support, refer and follow up.

    Payroll processing and administration (20%)

  • Oversee staff changes on a monthly basis in preparation of the payroll and submission to Finance by 10th of every month
  • Review payroll after Finance have processed to ensure all inputs HR are factored in
  • Prepare the salary structure and alignment with the global pay policy.
  • Collate staff compensation and benefits data in time for submission to Birches for the annual salary review.
  • Regularly participate in other organizational salary surveys to ensure Plan remains competitive
  • Ensure all staff are enrolled and have accounts on the Perpay system and all their statutory numbers and details are uploaded for payroll purposes.
  • Regularly liaise with our service providers (Netcom) in case of any challenge while running
  • Payroll or while doing transitions
  • Regularly generate reports on staff benefits as required

    Leave administration (5%)

  • Capacity build all staff on usage of the Time Off module.
  • Interpret Leave policy to staff for all leave types to ensure proper usage.
  • Ensure proper planning and leave management in the system and as a practice.
  • Advise/ train supervisors on healthy leave management practices.

    Provident Scheme Management (5%)

  • Work closely with the scheme to ensure staff get the maximum benefits from the provider.
  • Educate staff on provident benefits and encourage high contribution to maximize on benefits.
  • Monitor staff membership to ensure eligible staff join immediately on hire.
  • Support separating staff to access their provident benefit upon request.

    Employee Central (HRIS) Management (25%):

  • Lead in
    the management of the HRIS system for the country office and the Regional Office.
  • Ensure the business unit administrators of HRIS have access and are well trained in key tasks of; Organization structure management, Reporting, data capture and manipulation, time off administration, timesheet administration, recruiting module, performance management and careers modules.
  • Ensure that all staff are enrolled on the Employee Central HR System on hire and regularly update employment status and benefits.
  • Ensure smooth roll out of new HRIS modules including provision of training to all staff and provision of support on need basis.
  • Regularly provide information and reports as required at IH level and by other relevant parties
  • Perform regular review on usage and uptake of the Employee Central system to ensure compliance.

    Occupational Safety and Health (5%):

  • Ensure the implementation of safety initiatives and act as a member of health and safety committee and facilitating implementation of Health and wellness strategies.
  • Ensure all offices comply with OSH requirements
  • Ensure awareness staff awareness on OSH
  • Oversee the conducting of OSH audits for all offices
  • Implement audit recommendations as per OSH guidelines

    Performance management (5%):

  • Ensure the HR Officer’s excellent performance of the roles and responsibilities and communicate and share work plans as relevant
  • Ensure timely setting of IAP and conduct performance appraisals as required
  • Coach and mentor to enhance skills for current and higher positions

    Other HR duties (5%):

  • Support in recruitment of staff
  • Provide orientation to new HR staff
  • Support in learning and development
  • Support in performance management process

    Key relationships

    Internal:

  • All Plan International Kenya staff
  • All Regional Office staff as required
    HR Managers from other Plan entities in RESA as required

    External:

  • Other INGO HR staffs especially those operating within Kenya
  • Government ministries / local authorities
  • Relevant professional HR networks
    Service providers relation to HR services

    Technical expertise, skills and knowledge

  • A Bachelor’s degree in Human Resource or related field.
  • Membership with IHRM
  • At least 3-5 years of relevant proven experience
  • Expertise in HR Information Systems is an added advantage
  • Knowledge of facilitating adult learning.
  • Ability to negotiate, advocate and influence effectively.
  • Strong communication skills, both verbally and in writing.
  • Excellent interpersonal skills with the ability to build strong relationships
  • Listening, coaching and counselling skills.
  • Ability to lead and manage change effectively.
