We seek to recruit a receptionist for the Ethiopia Country program who will be responsible for the front office (Reception) and will provide administrative support to various teams, welcome guests and greet people who visit the office, coordinate front-desk activities, including distributing correspondence and redirecting phone calls, Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges), answer, screen and forward incoming phone calls.
Responsibilities: Greet and welcome guests as soon as they arrive at the office.
Direct visitors to the appropriate person and office.
Answer, screen and forward incoming phone calls.
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Provide basic and accurate information in-person and via phone/email.
Receive, sort and distribute daily mail/deliveries.
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
Order front office supplies and keep inventory of stock.
Update calendars and schedule meetings.
Arrange travel and accommodations, and prepare vouchers.
Keep updated records of office expenses and costs.
Create and manage both digital and hardcopy filing systems for all partners.
Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
Requirements
BA degree in Secretarial Science or Management.
2 years INGO proven work experience as a receptionist, front office representative or similar role.
Professional attitude and appearance.
Solid written and verbal communication skills.
Considerable skill in operation of a PABX phone systems, computer. Proficiency in all Microsoft Office programs.
Ability to understand and follow complex oral and written instructions and establish and maintain good working relationships with officials, other employees and the general public.
Ability to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities for the Administrative and sometimes management staff
Excellent oral communication skills, cohesive interpersonal skills, with ability to work under pressure and deal with people of varied orientations.
Ability to establish and maintain office records and files, interpret rules and regulations and to apply them to work situations.
Dynamic, Creative & innovative person with considerable tact and poise.
Have self-drive and motivation.
Neat and well organized person, a time keeper and team player.

We seek to recruit a Cashier. The position holder will be responsible for providing direct administrative and financial management support to projects.He/she will be based in Addis Ababa. This position will be on one year contract.
responsibilities:
Financial Management Support;
Prepare and process workshop and training advances.
Frequently travel to project sites and effect payments based on authorized and complete documents.
Follow up and collect invoices from vendors and prepare and process payment requests.
Ensure that on all payments made, we are withholding the relevant government withholding tax for the payments where this is applicable by law.
Assist the team in preparation of travel advance and travel expense reporting.
Ensure that all completed documents are presented for cheque preparation or cash payment are done immediately.
Generally be courteous for all external parties or staff members who may require support on the payment service.
Responsible for making travel arrangement, book flights and hotel accommodation and completing administrative forms for project staffs and visitors.
Maintain records protocol of outgoing and incoming correspondence of the project.
Tracking and filing correspondences related to the project business in a systematic manner.
Provide administrative and logistical support in organizing workshops, trainings and seminars.
Assess and prepare procurement requests including consumables, stationaries, furniture for project utilization.
Coordinates regular team meetings and conferences to include room scheduling and audio/video conference components and take minutes and notes of such meetings.
Facilitate Travel and logistics arrangement.
Requirements
BA in Business Administration, Management or Accounting with at least 2 years of experience.
Excellent communication and computer skills
Experience in working with International NGOs and donor agencies
Fluency in English and Amharic is required knowledge of Afan Oromo is an added advantage.
Ability and willingness to travel as this position entails a travel up to 60% of the time.
