The Open Society Initiative for Eastern Africa (OSIEA) seeks to recruit a Program Assistant who will report to the Health and Rights Program Manager.

Overall job purpose

The Program Assistant will assist in the implementation and development of key policies, strategies, processes and procedures as well as support the efficient functioning of the program.

They will provide a variety of administrative, coordinating and logistical services in support of the Health and Rights Program.

Key Responsibilities

  • Program Implementation: Support the implementation of program strategies. Assist in the management of program budgets in order to set out clear
    priorities and timelines, scope of work and resources to satisfy the objectives of the program.
  • Logistic Support: Provide logistic support to assigned program staff, relevant thematic program staff and grantees. This will include; travel, drafting of correspondences and minutes taking.
  • Grants Management: Assist program officers to identify and assess potential grantees, finalize grant applications, input and track grant reports, attend grantee events; develop information depository on grantees; manage and update database on grantees; respond to unsolicited funding requests; maintain working relationships with grantees and respond to needs in consultation with program staff.
  • Meetings: Assist in preparation of meetings, conferences and seminars.
    Finance: Track program spending, process bills, monthly credit card reports, and reimbursement requests.
  • Management of consultancies: Prepare consultancy contracts, process consultants’ expense reports, and coordinate consultants’ travel needs.
  • Research and writing: In collaboration with respective program officers, conduct occasional research and writing assignments.
  • Travel: Conduct site visits with grantees and attend meetings as necessary.

    Person specifications

  • Basic degree in a relevant field.
  • Basic knowledge of health and rights issues in the East African region will be added advantage.
  • Four years’ work experience in program management in a similar organization.
  • Extraordinary initiative, creativity and capacity to think strategically.
  • Ability to communicate clearly and effectively with a diverse array of people.
  • Ability to manage several simultaneous projects in a fast-paced environment.
  • Strong organizational skills and close attention to detail.
  • Integrity, teamwork, diplomacy and professionalism will be essential.
  • Willingness to travel as needed.
