Job PurposeTo provide strategic and administrative support to the Chief Executive Officer and the Executive Director.
Key Result Areas
• Provide strategic support to CEO and ED.
• Provide administrative support to the Chief Executive Officer and Executive Director.
• Manage CEO’s and ED’s diary, correspondences and travel schedules.
• Planning and organizing meetings, events, conferences travel arrangements and staff functions, accommodation and any other special requirements.
• Taking minutes of executive and management meetings and distributing the minutes and following up on actions.
• Develop and maintain the filing system ensuring corporate documents are safe and can speedily be retrieved.
• Coordinate and process expense claims on behalf of the CEO and ED.
• Provide logistical assistance in preparation of the board meetings, as well as prepare CEO’s board reports.
• Liaise with the company secretary in following up matters arising out of board minutes, action plans by management and executives.
• Assisting the CEO and ED in the preparation of presentations, speeches and correspondences.
• Arrange and conduct international field visits whilst liaising with OI-US to provide all required information for upcoming trips.
• Ensure compliance with Finance policies and procedures, BOU regulations, budget parameters, and procedures and the risk management framework operational within the Bank.
Qualifications and Experience
• A university Degree in the field of Social Sciences or Legal studies with at least 3 years of experience in business management or administration.
• Holder of ICSA (Secretarial) certificate will be an added advantage
• 3 years’ experience in managerial responsibilities.
• Extensive knowledge and good understanding of the business of the institution and the ability to use one’s own initiative.
• Working effectively in the absence of
the Executive Job holders
Skills, Abilities and Job Related Knowledge:
• Analytical, with a keen eye to detail
• Excellent use of Word, Excel and Power point
• Excellent organization, planning, communication and Interpersonal skills, basic computer skills, oral and written Communication skills and numerical skills
• Ability to communicate effectively to CEO, ED, Stakeholders, Donors, staff, Clients, Service Providers
• Ability to multitask and deliver timely responses and results.
• Ability to work under pressure and ready to work long hours.
• Information gathering and monitoring skills
• Problem analysis and problem-solving skills
• Judgment and decision-making ability
• Initiative and confidentiality
• Knowledge on sign language is an added advantage.
