Duties And Responsibilities

The duties and responsibilities shall include but are not limited to:

  • Develop and implement administrative strategy aligned with the strategic plan.

  • Provide oversight for human capital affairs.

  • Coordinate training and development programs for staff.

  • Provide Governance support to the university’s Management Board and Council.

  • Ensuring compliance with all applicable laws, regulations, and policies.

  • Collaborating with university leadership to develop, review, and update policies and procedures governing various aspects of the institution’s operations.

  • Maintaining accurate and complete records of board meetings, decisions, and official documents.

  • Serving as a liaison between the university administration, faculty, staff, students, and external stakeholders and responsible for communicating important information, decisions, and policies.

  • Providing guidance on ethical standards and conflict-of-interest policies for the university.

  • Assisting university leadership in identifying and managing risks that could affect the institution’s operations or reputation.

  • Streamline operations, documentation, and filing procedures.

  • Safeguard and maintain records securely.

  • Manage staff engagement/disengagement processes according to policies.

  • Coordinate policy, procedure, and standard development and implementation.

  • Advise senior management on policy formulation and evaluation.

  • Provide guidance on resource planning, including manpower.

  • Record minutes during committee meetings.

  • Support adherence to Quality Management Standards (QMS)
    and assist in departmental policy formulation and implementation.

  • Any other relevant duties as assigned by the supervisor.

    Requirements For Appointment

    For appointment to this grade, one MUST have:

  • A relevant Bachelor’s degree from a recognized University.

  • Completed CS Level I.

  • At least six (6) years’ relevant work experience with at least three (3) years as an Administration Officer I in a university or its equivalent.

  • Proficiency in computer applications packages.

  • Registered member of a recognized professional body.

  • Supervisory course lasting not less than two (2) weeks cumulatively.

  • Fulfilled the requirements of Chapter Six of the 2010 Constitution of Kenya on Leadership and Integrity upon successful appointment.
