Duties And Responsibilities

The duties and responsibilities shall include but are not limited to:

  • Develop and implement administrative strategies, aligned with the university’s strategic plan, and coordinate policy development across departments while advising top management.

  • Ensure compliance with health and safety laws, safeguard confidential records, and maintain efficient documentation systems.

  • Manage administrative operations, including transport, logistics, and asset management, ensuring smooth functioning.

  • Supervise staff, provide guidance, and coordinate training programs for continuous development.

  • Advise on resource planning, including manpower and budget allocation, and assist in setting departmental performance targets.

  • Provide secretariat services to university committees, prepare agendas, and take minutes in meetings.

  • Implement administrative functions within departments and provide advice to department heads on operational matters.

  • Ensure adherence to Quality Management Standards (QMS) and implement performance management systems.

  • Coordinate policy development and implementation, ensuring alignment with university objectives.

  • Advise on resource allocation for departmental needs, managing equipment procurement and utilization.

  • Maintain organized documentation and filing systems, ensuring accessibility and confidentiality of records.

  • Evaluate departmental performance against targets, providing feedback and recommendations for improvement.

  • Undertake any other relevant duties as assigned, providing flexible support to meet organizational needs.

    Requirements For Appointment

    To be appointed to this grade, one MUST have;

  • A Masters’ degree in the relevant field.

  • A Bachelor’s degree from a recognized University.

  • CS Level II.

  • At least nine (9) years’ relevant work experience with at least three (3) years as a Senior Administration Officer, Grade II in a university or its equivalent.

  • Be proficient in computer applications packages.

  • Must be a registered member of a recognized professional body.

  • Have supervisory course lasting not less than two (2) weeks cumulatively.

  • Fulfill the requirements of Chapter Six of the 2010 Constitution of Kenya on Leadership and Integrity upon successful appointment.
