Purpose of the Position

  • To provide management leadership at the UODL in regard of the following matters: (i) to manage and optimise the administration of the student life cycle in respect of an appropriate UODL environment and prerequisites, (ii) to ensure integrated administration, logistical and stakeholder-support services, as well as (iii) the capturing of data and the provision of user assistance to the student system in the context of the NWU as a geographically dispersed, multi-campus university.

  • To provide strategic leadership in regard of a particular functional area within the SALA environment for execution across campuses of the university.

    Responsibilities:

    Strategic and operational leadership

  • Assuming strategic responsibility for a functional area within the SALA environment to be executed across the campuses and modes of delivery of the university.

  • Assuming responsibility at UODL to steer, establish and maintain a dynamic and sustainable student academic lifecycle (SALA) administrative environment conducive to the realisation of the NWU strategic agenda.

  • Translating the SALA strategy into viable operational plans at UODL within the distance environment for UG and in close collaboration with the relevant faculty and other structures for the following milestones within the student life cycle: (i) applications and admissions services, (ii) registrations services, (iii) effective student record-keeping processes, (iii) logistical administrative support for students by means of client service facilities and call centres; (iv) timetabling and assessment services; (v) assistance to the centralised service regarding certifications and graduations services; (vi) an effective and supportive student system; (viii) contract management iro service providers in accordance with NWU policies.

  • In alignment of the NWU strategy regarding the matter, and with collaboration with IT and other service providers, the operationalisation of a supportive technological environment towards establishing a blended mode of delivery and enhanced e-learning platforms.

    Implementation of policy and practice

  • Implementation of a governance environment and prerequisites for admission and registration by means of clear rules contained, amongst others in the A-rules, faculty calendars, admission and selection policies, as well as the recruitment targets in line with the NWU enrolment plan.

  • Implementation of a cost-effective, single and aligned methodology for the application and admission of students in accordance with the relevant admission criteria into undergraduate and post-graduate programmes delivered in the distance mode and as contained on the NWU’s PQM.

  • Implementation of a seamless integration of academic administration, logistical services and student systems that are responsive to the academic administrative needs of the NWU and in line with national directives.

  • Implementation of NWU policies applicable to the SALA environment, as well as practices that facilitate innovative use of technology, quality assurance and optimum levels of alignment and standardisation across sites of delivery, including learning support centres.

    UODL management of undergraduate administration

  • Implementation of an integrated, effective and efficient administrative management environment as deployed in both the UODL as well as
    faculty environments in respect of the applications, admissions, registrations, add and drop information, student-records, ongoing data capturing of assessments (formative and summative) and preparation of graduations data.

  • Ensure the establishment of an optimal e-filing system for student-registry purposes.

  • Responsible for the implementation of a single and aligned methodology across all sites to ensure an effective and efficient SALA function with an ongoing view to automate as much as possible functions.

    UODL management of logistical support services

  • Implementation of an integrated, effective and efficient timetabling process for optimised venue utilisation catering for both class and examination timetables (UG, PG, distance,) at the various sites of delivery

  • Implementation of an effective and secure logistical service at learning support centres for periods of assessment in respect of venues, invigilation, marking and results,

  • Implementation of an effective, standardised, consistent, secure, centrally managed and trustworthy certification and graduation process across sites of delivery.

    UODL management of student client services

  • Implementation of the establishment of effective and efficient student client services (help desk, call centre) for UODL for the purpose of establishing a one-stop service to students in regard of all aspects of the student academic life cycle.

    UODL management of student systems

  • Implement the establishment and maintenance of a student system characterised by optimal data integrity, for the purpose of the management of student records, governance and operational data management – that is developed and maintained in accordance with clear business rules, so as to enable effective support of all relevant business processes.

    UODL management and leadership results areas

  • Team composition, effectiveness and efficiency at various campus sites of delivery

  • Stakeholder relationship development and effectiveness

  • Corporate governance conformance, reporting and risk management

  • Budgeting, cost management and cost-effectiveness

  • Processes and systems design, utilisation, effectiveness and efficiency

  • Personal effectiveness, wholeness and development

  • Values-based behaviour leadership and personal compliance

    Other Essential Requirements

  • 5 Years’ experience in the relevant industry/professional leadership

  • 3 Years operational experience in the relevant industry/professional leadership

  • 3 Years management experience in the relevant industry/professional leadership

    Recommendation

  • Any relevant area, experience in ODL will be a benefit.

  • Membership - Involvement at community of practice level at national and international forums.

    Functional Competencies

  • Proven knowledge of the design, user system requirements and relevant aspects in regard of the execution of student administrative activities at a higher education level.

  • Mature knowledge of all functional areas within the student administration domain.

  • Demonstrable knowledge and ability in developing and managing budgets, hiring, training, developing, supervising and evaluating large teams across various sites of delivery.

  • Excellent writing and oral communication skills.

  • Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU.

    Behavioural Competencies

  • High level of integrity and dependability with a strong sense of urgency and results-orientation.

  • Strong problem solving, analytical and abstract reasoning skills.
