Job Purpose Statement

The role holder has the principal responsibility of managing user access to bank systems within the Group. The officer handles end user requirements on a daily basis, including user profile maintenance, troubleshooting and training of users.

The officer conducts quarterly systems review contributing to bank risk management process by ensuring access controls in the system corresponds to risk management objective. Additionally, the officer resolves customer complaints and issues related to User Profile management.

Key Accountabilities (Duties and Responsibilities)

Operational Management

  • New User Creation - The officer is responsible for onboarding staff in the Group on the various systems after confirming with the respective human resource office.

  • Reset passwords for users including guiding users and, troubleshooting where there are challenges with self- resets.

  • Amend user profiles by ensuring the privileges
    assigned are correct and all approvals are in place.

  • Disable user profiles when users proceed on leave

  • Deletion of users in all the systems managed by the team when the staff exits the Group.

  • Extend user login times when a user is working
    during the restricted hours in the system to ensure business continuity

  • Carry out proactive systems review of user profiles to ensure:

  • Staff do not have excess privileges

  • Staff profiles match the departments they are in

  • Users have appropriate rights in Systems

  • Dormant accounts are disabled/deleted

  • Staff who exits have no access on
    applications.

  • Ensures high level of standards and upholds an
    audit ready culture in the systems user controls.

  • Ensures continuous adherence to NCBA Bank
    Group policies and processes, data protection policy while executing the role of profile management.

  • Work with IT team, vendors and staff during projects where there are new systems being acquired, systems integration or improvement.

  • Work with vendors to resolve systems errors and close with vendors on new
    system features from internal customers

  • Avail all documentations related to user profile management required during internal and external audits for the systems and close any gaps raised.

  • Attend meetings for new system deployments and
    conduct tests to ensure the systems work efficiently while observing all system-embedded controls

  • Create user manuals/documentation for systems
    under Profile management that aid during training of users

  • Review and advise of any risks within the
    department

    Customer Service

  • Adhere to the SLAs set for all tasks in the unit.

  • Constantly and consistently exceed customer
    expectations by being responsive, driven and timely in resolving user’s tickets and updating
    where problems are being encountered during the process.

  • Train, advice and guide Group users on system
    challenges.

  • Actively participate on the various activities. This includes surveys, meetings, CX activities

  • Maintain good working relationships with other
    departments and vendors

    Ideal Job Specifications

    Academic:

  • University Degree preferably a graduate with Audit and compliance, ICT or any other

  • Banking Related background and skills.

  • Computer Literate – advanced Skills.

    Professional:

  • A good understanding of all core processes and knowledge of regulatory requirements.

  • Professional Banking qualifications.

    Desired work experience:

  • A minimum of 5 years work experience in banking with experience in:-

  • General system Banking operations

  • Experience of a service environment

  • Knowledge of regulatory and statutory requirements
