Job PurposeTo manage sales and distribution operations in the designated area and to drive achievement of set targets for the same.
Key executions include; ensuring right stock buffer levels, proper cycle activity management, developing route specific sales forecast/plans, custody of all resources provided in the branch, building and driving positive behavior in team and managing stakeholders.
Main Responsibilities
Warehouse and Operations
Issuance and confirmation of stocks as per route(s) requirement and D.R.(s) requisition daily.
Ensuring full and adequate portfolio loading for all DRs
Receiving and confirming the returns from all the routes, re- organization of all stocks as per Stock keeping Unit and counting returns to facilitate reconciliation.
Reconciliation of all issued stocks with their respective values both physical and on the system.
Ensuring that motorbike returns are confirmed physically (Physical count).
Distribute stocks to other branches when need arises.
Direct and supervise all operations of the branch.
Daily stock and cash reconciliation.
Ensure equal distribution of duties to staff.
Ensure adherence to office security policy (key and doors policy).
Ensuring branch cleanliness and maintaining updated fumigation and beetle trap schedules.
Product freshness management by ensuring all staff understand product codes.
Ensuring proper product handling.
Maintaining an updated stock journal record for accountability of stocks.
Offloading stocks from client /main warehouse.
Sales and Distribution
Ensure smooth running of all sales and distribution activities for all routes through timely resolution of arising issues.
Conducting weekly route(s) accompaniments to identify execution gaps, coach and address challenges faced by DR(S) and customers/business partners.
Preparing the branch business plan, sales forecast, route targets, implementation and review plans.
Overseeing daily target board and tracker update.
Ensuring Alignment of route coverage with RCS8 requirement per tool.
Driving efficient cycle activities management
Resource and Administration
Leave management– Ensure that staff have proceeded half of their leave by half year and there is no spill over for the following year.
Tools management- Ensure that all tools are in good condition and any accidents and incidents are reported; all maintenance issues are escalated to the fleet supervisor.
Share weekly attendance, Branch minutes, security report
and any other report that the team may deem fit.
Record management-keep an up to date and proper records
Maintain Health and Safety, ensuring that all the staff have the right tools and protective clothing.
Continuous assessment of the staff capability and communication of any gap.
Ensuring that communication reaches the staff as intended and that management gets feedback from the employees.
Human Resources and Administration
Supervision and Administration of staff e.g. leaves, disciplinary, recommendation, appraisal, etc.
Manage allocated fleet.
Hold weekly meetings with staff and submit a copy of minutes to the HR and Admin department, the GM and Assistant GM.
Record management i.e. filling
Finance
Maintain branch shortages at 0%
Managing branch petty cash, ensuring all expenditure are posted daily to the correct expenditure accounts and submitting a report to finance department daily.
Ensuring that receipting is done correctly daily and Withholding tax element captured correctly}
Ensure all client purchase invoices are posted correctly {i. e the correct amounts, quantity, specifications and date.}
Ensure all rent invoices, water and electricity bills are sent to the finance department on time and communicate immediately where cash payment is made for the same.
Assist other branches with banking on request.
Requirements and Qualifications
Degree in Sales & Marketing or a degree in related field
At least 3 years’ experience in sales and in a supervisory position
A valid driving license
