About M-KOPAThe Administration Officer will be responsible for providing administrative support to the team, ensuring the efficient operation of the office, and contributing to the smooth running of the business. This is an exciting opportunity for a highly organized and detail-oriented individual to make a real impact in a fast-paced and dynamic environment.
ResponsibilitiesManage the office facilities, ensuring that the office runs smoothly and efficiently and that all equipment and supplies are well-maintained and available as needed
Ensure proper filing of documents, scanning documents and archiving, organizing correspondence, and taking minutes where necessary.
Manage a vendor/supplier database and ensure a good working relationship.
Track and support the renewal of all
business documentation as assigned.
Support internal stakeholders to process invoices and orders received from stakeholders.
Collaborate with the global and local teams to manage travel arrangements, including airport and hotel arrangements.
Maintain a company calendar and schedule appointments where necessary.
Maintain open lines of communication between M-KOPA administration, procurement, and finance.
Assist with the coordination of events, meetings, and other activities, including scheduling, preparing agendas, and managing logistics
Prepare regular expense reports and monthly office budgets.
Prepare general reports and presentations with statistical data, as assigned.
Requirements and skills
Bachelor's degree in Business Administration or a related field, or equivalent experience
Strong administrative and organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously
Excellent written and verbal communication skills, with the ability to interact professionally with team members and external stakeholders
Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and a strong knowledge of database and office equipment
Ability to work independently, as well as part of a team, and to maintain confidentiality and discretion at all times
High attention to detail and accuracy, with a focus on delivering high-quality results
