Country and project background
Malaria Consortium South Sudan has its main office in Juba and a large sub office in Aweil, Northern Bar el Ghazel.
In the FY2017, South Sudan had an annual programme value of nearly $5M and 100 staff members.
In addition to our malaria control work our five core programmes in South Sudan are; the provision of community level treatment for childhood diseases for diarrhoea, pneumonia
and malaria through integrated Community Case Management (iCCM); nutrition for children aged
under five including emergency nutrition and SMART surveys.
Job purpose
The Logistics Assistant will contribute to day-to-day logistical and administrative support of Juba office Operational deliverables aimed at supporting effective technical programme implementation.
Scope of work
They will provide support and assistance to all Juba based Operational activity, including, but not limited to, warehousing and asset tracking, fleet management, office maintenance and upkeep,
procurement of goods and services to ensure smooth running of Juba Operations.
Key Accountabilities
While the Logistics Assistant has overall responsibility for all the functions listed below many of the day-to-day functions will be implemented through oversight and support provided to the relevant members of the local Logistics team.
Where possible these oversight functions are indicated clearly.
Make available requisite documentation, forms and paperwork and ensuring proper filing of
all required logistics related documents on Intranet, and in well-organized and labelled
folders in hardcopy
Ensure proper storage and filing of all logistics files per donor requirements
Track all Juba office maintenance requirements to ensure proper and timely maintenance
and servicing of all office equipment
Ensure documentation around stock movement and management including Waybills, GRNs,
COCs, GIK and Donation certificates, Stock Requisitions, etc., are properly completed, signed
and filed on Intranet and in hardcopy
Assist in day-to-day Juba administrative activities related to Juba operations functions
Maintain organisation and cleanliness of Juba stores both physically and administratively
with aim of preventing waste, damage and/or fraudulent use of Juba stock
Inspect the physical structure of the stores regularly and report any damage to roof, walls,
door, windows, and floor to line manager
Ensure Item Description section of is fully and accurately filled on all stock cards, likewise
ensure in-coming and out-going stock information e.g., GRN, COC, Waybill, Delivery Note,
Stock Release Form No” is accurately captured on stock cards
Ensure stock is stored properly, e.g., stores have pallets and shelves, like-items are stored
together, and stock cards and bin cards are readily available
Monitor and track stock levels to provide line manager with weekly notifications of items
that have reach re-order point
Track maintenance scheduling system for all
Juba office and compound equipment, notify
line manager of dates of needed servicing with sufficient lead time for coordinating
maintenance service in line with service schedule
Support line manager in ensuring Juba fleet is adequately equipped with safety and
emergency supplies, communications equipment, and are well maintained
Track Juba maintenance scheduling system and provide line management notice of needing
servicing with adequate lead time for coordination and arranging of vehicle servicing per
vehicle maintenance schedule
Provide support to ensure vehicle job cards are duly filled and signed
Ensure all vehicle documentation is properly filed in hardcopy and on intranet including,
insurance registration, log books, job cards, etc.,
Provide additional procurement related support as needed and requested by line manager
Work cooperatively and harmoniously with partners and colleagues to strengthen MCSS
supported programs in every way possible.
Attend relevant local logistics coordination meetings.
Other relevant tasks as required.
Person specification
Qualifications and experience:
Completion of secondary level education
Minimum 2 years of logistics and fleet experience
Experience in logistics supporting INGO operations in a developing country.
Experience in management and/or oversight of warehousing, assets, communications, fleet, and
base management
Experience working and living in insecure environments
Experience in team management
Strong initiative, leadership skills and ability to work well in a dynamic international team
Excellent written and spoken English
Computer skills particularly Microsoft Office
Requires minimal supervision; creative problem solving
The right to work in South Sudan
Desirable:
South Sudan experiences a distinct advantage.
Knowledge of project management and project cycles
Basic book keeping knowledge
