Job purposeServing as the main point of contact, the role involves overseeing and efficiently managing the main reception area while providing vital support in various administrative services.
Roles and ResponsibilitiesRepresent the organization as the front office point of contact.
Manage both physical and electronic incoming and outgoing mail, ensuring prompt delivery to the designated recipients.
Organize timely dispatch of outgoing mail and ensure proper delivery.
Handle inquiries and correspondence, directing them to the appropriate staff members.
Supervise and maintain overall cleanliness within the office premises.
Ensure a welcoming environment for visitors and partners, providing appropriate hospitality.
Coordinate all travel arrangements and logistical details, including bookings and transportation.
Monitor the condition of office space, furniture, and fixtures, reporting any issues to designated supervisors.
Package, label, and dispatch parcels to respective regions as required.
Record receipts and distribute parcels to respective offices efficiently.
Maintain office machinery such as telephones and photocopiers.
Provide meeting support by recording minutes and arranging venues and refreshments.
Maintain organized records
and file documents appropriately.
Work on Meetings Payments and HRH stipends on monthly basis.
Manage Logistics on day-to-day requests for the region
Required Qualifications
Education Requirements
A diploma/degree in Business Administration, Secretarial studies, or a related course
Experience
Minimum 2 years’ experience in a similar role
Skills, Knowledge and Abilities
Excellent communication skills.
Ability to effectively work as part of a team
Ability to listen actively, adapt flexibly, and multitask effectively
Highly proficient in Microsoft Word, Excel, and PowerPoint.
