Position summary
The Village (Site) Coordinator will ensure Health and safety of the children, staff and visitors of the facility; also ensure the transit facility maintains proper standard requirements, implement, and abide or enforce the Social welfare regulations of the transitional Center. Coordination of the daily operations of the Transitional Center.
Foster and maintain an appropriate living and learning environment for the children. Further develop business plans and implement the sustainable projects and support in administrative activities within the facility.
Major responsibilities:
Administration and supervision
• Lead the design and development of facility management policy/guidelines aligning to social welfare guidelines
• Ensure the Transitional Center homes, library, multipurpose hall and play areas are maintained in a clean, orderly, and safe condition.
• Oversee and implement the children’s needs in terms of clothing, nutritional meals, bed spaces, health and education issues are addressed timely;
• Actively ensure proper facility maintenance and repairs, as well as all relevant requirements of the projects under implementation;
• Coordinate and provide administrative support to the Social Workers, Caregivers and Trauma Team;
• Document and file all relevant and important information and policies;
• Supervise engaged contractors or vendors to meet work objectives and to the general worker/s;
• Manage performance reviews/agreements as guided by Human Resources.
Facility Planning, Project Management and Compliance
• Oversee, monitor and manage all village projects and ensure timely reporting of performance of the projects showing impact and sustainability
• Initiate, develop business plans and lead projects to ensure sustainability and skills building for the children in the facility;
• Prepare project monthly and annual reports
• Identify any funding streams for possible projects and communicate accordingly to the Program Quality Senior Manager for support;
• Participate and be involved in planning, budgeting for the facility
• Ensure that expenditure for food, home supplies, medical costs, clothing, education, and the treat fund stays within the approved budget.
• Ensure budget tracking for the facility and full retirement of any business advances.
• Collection of quotations in accordance with procurement guidelines and procedures.
Safeguarding, Health and Safety
• Implement Social Welfare regulations for the care center or transitional Center;
• Ensure that the organization’s health and safety plan is implemented and monitored in accordance with the existing policy;
• Assist in the planning, developing, and implementation of life transforming skills
empowerment programs for children ages below 18 in ensuring that the library and the multipurpose hall is effectively utilized;
• Train children in the life skills using the existing projects in the facility;
• In liaison with Social Workers and caregivers arrange children’s camps and outings every quarter
• In liaison with the Program Managers and Social Workers organize spiritual mentorship, teaching and coaching programs for children in the facility.
• Report incidents of child abuse or harm to the Safeguarding Senior Manager and Country Director
• Working with the Senior Manager Human Resources & Safeguarding develop child friendly materials on health and safety for children and training spaces.
• Ensure timely communication on any matters that impact on both staff and children
• Initiate, lead and schedule regular Bible study for the Children in liaison with Caregivers and monitor spiritual nurture activities.
• Give support in cases of emergency and other facilitations (school errands, hospital, etc.)
• Perform any other duties as assigned.
Qualifications and experience:
• Diploma Social Work, Communication for Development, Business administration. Project management, and/or degree in any social science is added advantage.
• At least a minimum of 1-3 years’ experience working in a Care facility with understanding of its operations
• Must be a holder of a valid driver’s license;
• Experience in managing Income generating activities a plus
• Able to exercise judgment and discretion in analyzing and resolving problems; read, correct and prepare clear and concise reports;
• Experience working in multi-cultural environments.
• Must be self-motivated, team player, flexible and able to work effectively across office departments.
• Good verbal and written communication skills, and fluency or near-fluent proficiency in local languages is desired.
• Strong in report writing and analysis of impact created.
• Analytical, decision making, negotiation, networking, liaison and donor engagement skills
• Ability to work on a team and contribute effectively to team efforts
• Functional knowledge working with Social Welfare under the Ministry of Community Development, Ministry of Health and Ministry of Education
• Ability to produce high quality work under tight deadlines and schedules
• Maintain cooperative working relationships with staff and children; demonstrate sensitivity to, and respect for a diverse population.
