Requirements for Appointment

For appointment to this grade, an officer must have:-

Bachelor's degree in any of the following disciplines:- Secretarial Studies; Business and Office Management or equivalent qualification [rom a recognized institution;
OR

Bachelor's degree in Social Sciences plus a Diploma in Secretarial Studies from a recognized institution;

Good interpersonal and Communication skills;

Certificate in computer applications from a recognized institution; and

Kenya National Secretaries Association (KENASA) Membership.

Duties and Responsibilities

This will be the entry grade for this cadre. Duties and Responsibilities at this level will entail:

Taking oral dictation;

Managing e-office;

Word and data processing;

Operating office equipment;

Attending to visitors and clients;

Handling telephone calls and appointments;

Coordinating schedules of meetings and appointments;

Ensuring Security of office records, equipment and documents, including classified materials;

Ensuring Security, integrity confidentiality of data;

Preparing responses to routine correspondence;

Establishing and monitoring procedures for record keeping of correspondence and file movements;

Maintaining an up to date filing system in the office;

Managing office protocol and ctiquette;

Managing petty cash; and

Supervising office cleanliness.
