5. Procurement Officer – Ref: KYEB/HR/PROC/04/2016
Department: Finance and Admin Department
Job Grade: KYEB 5
Reporting to: Finance and Administration Manager
Job Role: Developing and Implementing Kenya Yearbook Editorial Board’s procurement policies and ensuring timely delivery of goods, services and work to the Board.
Key ResponsibilitiesPreparation, coordination and implementation of consolidated annual procurement plans and ensure user departments adhere to it in line with approved budgets;
Preparation of tender proposal documents and establishing comprehensive list of suppliers in every financial year;
Coordinate the receipt, opening and evaluation of quotations, tenders, or proposals for goods, services or works;
Preparation and management of contracts in liaison with the legal representative for its legality and ensure proper authorization in accordance with Board policies;
Ensuring user departments adhere to procurement plans in line with budgets;
Carrying out market surveys, monitor and evaluate performance of the supply chain function;
Ensuring sound partnerships with suppliers, clients and relevant government agencies;
Ensuring timely, efficient and effective procurement of goods, services and works, while strictly adhering to the procurement policy;
Processing applications and preparing corporation tender committee papers;
Establishing in liaison with the relevant departments and end-users, quality specifications of goods and services required by the Board;
Carrying out designated checks on quality and security aspects of procurement;
Reviewing the supply chain to ensure it is efficient and effective
Managing the annual supplier pre-qualification exercise;
Managing the disposal of obsolete and disposable items.
Supervise, mentor and coach the direct report(s).
Secretary to the Tender Committee; collate and present procurement documentation to the relevant Tender and Disposals Committees for adjudication and award;
Minimum Academic Qualifications:
A Bachelors degree in Supply Chain Management or its equivalent from a recognized University.
Diploma in Procurement and Supplies Management and membership to Kenya Institute of Supplies
SIX (6) years experience in procurement in a large organization or government agency;

6. Accountant –REF: KYEB/HR/ACC/03/2016
Department: Finance and Administration
Job Grade: KYEB 6
Reporting to: Finance and Administration Manager
Terms of Service: Permanent and Pensionable
Job Role: Ensure prudent financial management and accounting practice according to the Boards finance policies and Government regulations
Key responsibilities
Establishment of sound financial policies, systems and procedures in compliance with statutory regulations;
Designing and implementing internal control procedures
Production of reports on all financial transactions;
Participate in the preparation of the Board’s strategic (Operational) plans and forecasts, cash flow projections and computation of expense ratios;
Coordinating the budgeting process, monitoring cash flow and overseeing the organisation’s financial performance against the budget and operational goals;
Coordination of annual audits (both systems & book audits) in compliance with International Accounting Standards;
Management of day to day accounting processes, reconciling monthly activity and generating end-year reports;
Maintaining liaison with relevant Government departments for necessary consultation on financial matters to ensure the Board’s compliance with statutory requirements;
Guiding and supervising staff performance in the department to foster discipline, motivation and team spirit.
Manage sustainable organization succession plan;
Minimum academic qualifications:
A Bachelors degree in Commerce/Business Management (Accounting/Finance option) or its equivalent;
Professional qualifications:
CPA III, ACCA or its equivalent.
A member of the Institute of Certified Public Accountants (ICPAK)
Relevant work experience:
Six (6) years progressive experience in Finance Management
Competencies:
Excellent Communications skills both verbal and written.
Strong Leadership skills
Excellent computer skills and proficient in excel, word, outlook and access and other accounting packages.
Practical knowledge of tax and other compliance
requirements of state corporations;
Budget development and oversight experience;
7. PhotoJournalist – REF: KYEB/HR/PROD/02/2016
Department: Production Department
Job Grade: KYEB 8
Reporting to: Production Manager
Terms of Service: Permanent and Pensionable
Job Role: Providing photography services to the Board
Key responsibilities
Judging the quality of photographic images
Organizing photographic coverage and documentation of photographs
Assisting in budgeting of photographic materials
Liaising with other Government departments and parastatals for photographic needs
Taking news and feature photographs in digital format
Caption writing and editing photographs
Portraiture photography
Producing and mounting of photographs for exhibitions
Supervising and guiding of photographers under him/her
Scanning and e-mailing photographs to subscribers, clients and media houses
Minimum academic qualifications:
Bachelor’s degree in photography
Professional qualifications:
Post graduate diploma in Photography or any other field
Relevant work experience:
3 (Three) years relevant experience
Competencies
ICT proficiency.
Good interpersonal and communication skills

8. Associate Editor – REF: KYEB/HR/ED/01/2016
Department:Editorial Department
Job Grade: KYEB 3
Reporting to: Editorial Manager
Terms of Service: 3 Year Contract
Job Role: Assist the Editorial Manager in managing the Editorial Function.
Key responsibilities
Assist in formulating and managing implementation of plans for achievements of publication targets in close consultation with the Production Manager;
Assist in Developing and implementing a comprehensive training program for the editorial staff;
Determine fiscal requirements for the department, including the equipment and facilities necessary for the smooth operation of the editorial and publishing activities;
Manage the editorial staff reporting to you in all aspects, including motivation, training, recruitment and selection; recommend various personnel actions including, but not limited to, hiring, performance appraisals, transfers, promotion and annual leave schedules;
Contribute to strategic planning and development as a member of executive team;
Supervise and develop staff in the section.
Participate in development of the Department’s Work plan and budget;
Prepare monthly, quarterly and annual sectional reports
Participate in departmental meetings
Ensure quality control and customer service
Minimum academic qualifications:
Degree in journalism or a related field from a recognized university
Professional qualifications:
Diploma in journalism from a recognised institution/body
Relevant work experience:
At least 7 (Seven) years relevant experience in a reputable publishing firm;
