Islamic Relief NGO Human Resources Assistants Jobs in Nairobi - Kenya
Established in 1984 in the UK, Islamic Relief is an international NGO seeking to promote sustainable economic and social development by working with local communities through relief and development activities.
We aim to help the needy regardless of race, religion or gender. Through working in chronic food deficit areas and in the most disadvantaged areas, IRK has ensured that its programmes target those who are most vulnerable in the most disadvantaged
areas.
These programmes include Health and nutrition, Water and Sanitation, livelihoods, Childwelfare and other special programmes (Qurbani and Ramadhan).
Responsibilities
Coordinate Orientation for New employees
Receive all new staff and interns and orient them.
Support new employees to complete all HR formats including; PHF, Code of conduct,
NHIF, NSSF, Medical insurance.
Issue new employees with interim staff Identifications Cards and Liaise with security
coordinator to process staff Identification Cards Islamic Relief Kenya
Prepare the orientation program and ensure new staffs have completed the process.
Print the orientation brief for each new employee and discuss with them the key aspects of the orientation
Communicate in advance to the receiving sectors/offices about the arrival of new employees.
Liaise with HRO in the field to arrange for new staff’s accommodation
Compiling of leave
Communicate to sector heads, HRO and Area managers in the field to submit to HR office in
Nairobi all leave applications forms immediately they are approved
Assist to compile the leave reports including R&R, maternity, sickness, annual and paternity.
Prepare the Monthly reports and organize meeting to educate staff on the various leaves
provided in the HR Manual.
Handle leave queries from staff and sectors appropriately.
Compilation of attendance
Liaise with AM in the field office to compile staff lists (headcounts) from the sectors and ensure they are accurate and correct.
Work with the Human Resources Officer to compile data on staff turnover for discussions.
Update staff list monthly headcount reports and forward the same to the HR Officer.
HR Records creating and Maintenance
Create HR Personal files for each new employee
Assist and maintain HR data and files
Ensure safe custody and confidentiality of the staff information
Ascertain accuracy and completeness of the staff information and records
Manage archiving of HR records of all separating staff and maintain a register for the same in AX
Ensure that all personnel files are kept confidentially and secure.
Ensure all filing are done on a weekly
Management of the Medical cover issues
Arrange for issuance of Medical cards to new staff and their officially recognized dependents
Check records submitted by new employees for self and dependents to ensure they are
correct as per IRK HR manual provisions for medical cover
Issue
staff with NHIF Contribution certificates in-case of in-patients
Check medical claims forms and receipts submitted for reimbursement for originality and
forward to the point person in the Nairobi HR Office for appropriate action.
Provide feedback to the employee who submitted the claim documents the date when such documents are forwarded to Nairobi
Assist HR Officer in Planning and Implementation of Staff Development Programmes
Analysing the APA’s and Mid-year appraisals and documenting staff development needs
generated
Liaising with sectors to document emerging staff development needs and assisting them to
identify appropriate interventions
Working with the HRC to design and conduct in-house staff development Programmes
Working with relevant offices to draws up budgets for in-house staff development activities.
Preparing reports on staff development activities and share with HR team.
Flight booking and office administration
Assist the Admin Assistant in flight booking and ensuring that all staff purposed to
travel have secured flights.
Relieve Admin Assistant/ Reception when on leave or out of office.
Apply and coordinate all Visa and work permit issues for Expatriate Staff
Requirements
Bachelor’s in Human Resources Management or Bachelor’s degree in Administration and
a Diploma in Human Resources Management from a recognized university or institute of
higher learning.
4 years of work experience in a busy environment,
Proven ability to organize prioritizes and complete work under tight deadlines.
Must be highly organized and possess the ability to interact with all levels of staff as well as both internal and external clients.
Ability to work effectively with diverse groups and establish and maintain collaborative
relationships with project partners and staff.
Should be able to analyse data, set goals, determine and implement strategies.
A good communicator who has the ability to counsel employees.
Highly confidential, good computer application skills in Microsoft Excel, Word,
PowerPoint.
