Job Description

  • Founded in 1933, the International Rescue Committee (www.rescue.org) is a world leader in relief, rehabilitation, and post-conflict development services for those uprooted or affected by violent conflict and oppression. The IRC is currently working in over 40 countries around the world, addressing both the immediate and lifesaving needs of conflict affected people in emergencies and the reconstruction needs of post-conflict societies.

  • The IRC began programming in northern Uganda in 1998 in response to mass displacement and devastation wrought by rebel group, the Lord’s Resistance Army. In 2002, the IRC expanded to the remote, conflict-affected region of Karamoja and in 2011, began working with refugees in Kampala and Kiryandongo settlement. Monitoring the influx of South Sudanese refugees at the end of 2015, the IRC began scaling up its response to refugees arriving in the West Nile region.

  • By promoting durable solutions that deliver on the interdependent aims of saving lives, strengthening institutions, and supporting social cohesion, the IRC in Uganda is laying the building blocks for long-term stability and development –bringing people from harm to home. The IRC currently works in 7 districts in Uganda, including Kitgum, Lamwo, Moroto, Amudat, Yumbe, Arua and Kampala.

  • IRC in collaboration with Plan International, War Child Holland, Innovations for Poverty Action, and Behavioural Insights team in partnership with LEGO Foundation is implementing PlayMatters project. It is a five-year project, funded by the LEGO Foundation, which aims to increase learning through play (LtP) opportunities for 800,000 pre-primary and primary school aged refugees and host community children affected by the humanitarian crises in East Africa and living in Ethiopia, Tanzania, and Uganda.

    Scope Of Work:

  • The PlayMatters project intends to create an opportunity for system actors across the project countries to harness opportunities to share expertise on aspects of pedagogy and quality education, building on pre-existing shared regional values as enlisted in commitments such as the East African Community (EAC), the African Union(AU) and the Inter-governmental Agency for Development (IGAD) that collectively enhance regional dialogues and linkages with neighboring states to share experience , build and explore opportunities for collaboration and development.

  • Reporting to the Regional Advisor – Policy & Advocacy – PlayMatters Uganda and working closely with the Senior Project Coordinator – IRC Uganda. The Volunteer Events planner will be responsible for leading the and planning the administrative, organization, and logistical arrangements of the event. The person will work through a committee that has been set up to plan the event.

    Duties and Responsibilities:

    Administration and Organization:

  • Develop a simple term
    of reference/scope of work for the planning committee.

  • Convene and chair coordination meetings for the committee to plan the event.

  • Ensure that all committee members are at all times informed in advance of the planning meetings and participate in the meetings these include all play matters partners representatives and co-opted Ministry of Education officials as an when required.

  • Coordinate with the different committee members to develop/prepare documentation and content for the conference such as invitation letters, discussion papers, site location profile, name tags, communications materials.

  • Ensure that all speakers and presenters at the conference have their presentations prepared and shared with them on time.

  • Ensure that the itinerary, agenda and supporting documents for the conference are developed and distributed to all delegates of the conference on time.

  • Coordinate with the Field teams to ensure that colleagues in the field and the locations to be visited are prepared and plan adequately to receive the guest.

  • Ensure that agendas for field-based activities are developed in advance and shared with all participants on time.

    Logistics:

  • Write and coordinate correspondences with different offices including IRC, consortia partners and Ministry of Education & sports.

  • Coordinate with the committee to select the venue for the event, ensure that it meets security and conference standards for the type of conference planned.

  • Contracts, LPOs are issued on time.

  • All resources financial, material and human required for the conference are sort in time and are in place. This will include working closely with IRC and other partners to arrange transport to and from the field visits.

    Qualifications

  • Degree or Diploma in Business administration, Communications, Administration and Logistics.

  • Strong organizational, interpersonal skills.

  • Good communication skills.

  • Good oral and written English skills.

  • Good administrative skills.

  • Strong written and oral English communications skills.

  • Excellent computer skills including MS Word and PowerPoint.

  • Must be able to work independently while being a strong team player.

  • Strong skills in collaboration with multi-cultural and diverse teams.

  • A team builder with excellent people skills; must be culturally sensitive.
