The Program Manager will support the Interim Diversity, Equality and Inclusion team which has been established on October 1st, 2020 for a period of 6 months.
The team is dedicated to diagnose the critical DEI gaps and opportunities in the organization, including synthesizing and participating in ongoing listening sessions, and putting forward recommendations for our DEI plan which will include more permanent roles, structures, policies and practices to improve diversity and inclusion at the IRC.
Job Overview/Summary:
The Program Manager is a vital role to ensure the smooth running of the DEI interim unit and the transition to the permanent unit.
The Program Manager primary responsibility is to provide high quality administrative support as well as support the development of activities and strategy of the interim DEI team.
The position is responsible for managing a range of administrative and logistical support services including budgeting and tracking departmental expenses, data reporting and analytics, scheduling, creating documents and presentations, reviewing, and implementing key activities, and facilitating communication.
S/he will also develop, direct, and execute special projects as commissioned by the DEI Lead – these may be cross-functional or specific.
Major Responsibilities:
• Administrative and Logistical Management
• Coordinate and support interim DEI team events, including strategy development related workshop and staff engagement related meetings.
• Compile data about ongoing activities in each workstream, to identify process issues and recommend changes, and record and report successes.
• Support transition to the permanent DEI unit and handle the administrative needs of the wider organization of the team
Provide technical support
• Assist the DEI Unit team members in developing and reviewing reports, presentations, and other communications content as needed.
• Support the development of, and implement, strategies to ensure the effective performance of the department.
• Collaborate with the DEI Lead on various projects and attend relevant meetings; follow up on pertinent action items.
• Support the design and lead aspects of the implementation of organizational change initiatives across the team.
• Support with benchmarking and best practices research for different workstreams.
• Support the writing and editing of learning and research pieces, and DEI action plans.
• Establish deep working relationships with colleagues, and
other operational and programmatic areas across the organization.
Budget Management
• Oversee and manage the Interim DEI team budget, including the review of monthly BvAs and transaction detail reports to maintain accurate spending plans.
• Analyze the monthly budget vs. actual reports for the department in a timely manner and work with the finance department to resolve problems;
• Review and submit expense reports, purchase orders, contract payments and other finance transactions for approval via Integra, IRC’s procurement, and expense management software; and ensure accurate coding.

Qualifications
Education: Bachelor’s degree or equivalent experience
Work Experience:
Minimum: 3 to 5 years working in a fast-paced office setting
Demonstrated Skills and Competencies:
Minimum:
• Shown experience working in Outlook email and calendar; familiarity with complex scheduling
• Solid Microsoft Office and database management skills, comfort with PowerPoint; Adobe Acrobat Pro; Google Suite
• Proven organizational and time management skills: the ability to work accurately and productively in a fast-paced environment and respond/adapt to shifting priorities
• Ability to organize, plan, schedule, determine priorities and meet deadlines
• Excellent presentation and meeting arrangement skills - a good understanding of how to create high impact settings
• Excellent oral and written communication
• Strong listening skills and outstanding attention to detail
• The ability to work effectively in a dynamic team as well as take initiative independently
• Dedication to respect and maintain confidentiality of information.
• Demonstrated interest in the humanitarian sector and the IRC’s mission
Language Skills: English (fluent); French, Spanish, or Arabic is a plus
