Background

Project Administrative Assistant /Driver will support the Building Drought Resilience Programme (BDRP) and other work under the Drylands Resilience Programme.

Roles and responsibilities

Support Field level implementation of project activities:

  • Complete imprest reconciliations and travel requests;
  • Plan and participation in field work;
  • Organizing meetings and workshops;
  • Assist in information management and correspondences;
  • Organize and participate in project management team meetings
  • Support office operations including photocopying, filing and deliveries
  • Provide information on security situation in project area
  • Assist in community level mobilisation for field meetings and all community events.

    Work with Finance Officer to support field level finance aspects as follows:

  • Handle petty cash disbursement and prepare documents for replenishment
  • Receiving and validating all expense claims, petty cash, travel claims etc.
  • Arrange for cash withdraws on the basis of duly approved requisitions
  • Preparation of payments by ensuring that all the supporting documents are attached
  • Receipting and banking and ensure a regular monitoring of bank balances
  • Reconciliation of balance sheet accounts including bank reconciliation IUCN-Garissa account
  • Printing and distribution of income and expenditure reports to supervisor
  • Maintain Fixed Assets Register
  • Filing of accounting documents

    Vehicle Maintenance/Driver Responsibilities

  • Ensure provision of reliable and secure driving services and proper day-to-day maintenance of the assigned vehicle,
  • Drives the IUCN Project Vehicle on various official errands such as but not limited to taking staff to the field for project implementation activities, picking up and delivering supplies, documents, mail, and guests to various destinations.
  • Communicate effectively with Supervisor on driving schedules/timeline.
  • Maintain a good driving record and ensure all incidents are reported in a timely manner and through appropriate channels.
  • Ensure the safety of the vehicle and accessories at all times during the time of use.
  • Facilitate routine maintenance of office vehicles, including proper and regular completion of vehicle maintenance records.
  • The Driver/Administrative is expected to notify the Supervisor when vehicle servicing is required (either routine or due to mechanical fault), and is responsible for ensuring that vehicles are washed and cleaned, fuelled, tyres and engine oil checked.
  • Maintenance of accurate vehicle service schedules.
  • Ensure compliance with applicable traffic laws, regulations, and/or IUCN rules, standards and guidelines on vehicle usage.
  • Keep records as required and maintain a clear daily
    record of work done and/or vehicle movement.
  • Handling daily messenger work for the office including: Collecting, sorting and delivery of mail and/or parcel to and from the post office and various offices on a regular basis;

    Any other duties

  • Undertake any other duties as assigned from time to time.

    Requirements

    Education:

  • At least vocational/technical Training or Diploma in Project Management, Business Administration and related fields. A Kenya Certificate of Secondary Education with relevant work experience maybe accepted.
  • Valid and clean Driving License Class B, C, E. Training in defensive driving an advantage
  • Valid First Aid Training Certificate an added advantage.

    Work Experience:

  • Minimum of 3-5 years of relevant administrative/clerical experience with at least 3 years safe driving experience/record
  • Experience in field office operations including photocopying, deliveries and filing
  • Familiarity with Northern Kenya is desirable,
  • Experience working with community and varied stakeholders
  • Exceptional knowledge of Tana Catchment Area and Northern Kenya road network and driving conditions.
  • Experience with community participation activities as well as organizing workshops and meetings
  • Demonstrates excellent knowledge of driving rules and regulations and skills in minor vehicle repair;
  • Experience in field office operations including photocopying, deliveries and filing
  • Familiarity with Northern Kenya is desirable, Experience working with community and varied stakeholders
  • Exceptional knowledge of Tana Catchment Area and Northern Kenya road network and driving conditions.
  • Experience with community participation activities as well as organizing workshops and meetings
  • Demonstrates excellent knowledge of driving rules and regulations and skills in minor vehicle repair;

    Language:
  • Fluency in English, both written and verbal.
  • Understanding of the local languages of Northern Kenya is desirable especially Somali and/or Orma
