Job Description

The Grants Assistant will contribute to overall grants management at IRC Ethiopia. The position will support work across all portfolios (Emergency Response/Local Community/Development Work, Refugee Portfolio and Budgeting).

This position is based in Addis Ababa with occasional trips to field sites and refugee camps, if needed. The Grants Assistant will work collaboratively with all of the 12 members of the Grants and Partnership Unit, the technical coordinators, operations team, and the finance team.

Responsibilities:

1. Proposals

  • Support the development of specific components and sections for new proposals & amendments in close collaboration with the Grants Managers and Grant Coordinators working with program staff and field teams.
  • Support budget development for newly assigned proposals and amendments by compiling raw data inputs from programs teams.
  • Support budget reviews and feedback incorporations to ensure accurate budgeting.
  • Support the development of budget narratives, edit proposals, and ensure proper proposal and grant management procedures are followed
  • Support Grant Managers in the use of management tools such as Budget vs. Actual (BVA) for the proper monitoring and the successful implementation of programs and early warning in case of obstacles or challenges.

    2. Reporting

  • Support the Grants Managers and Grants Coordinators in the reporting process; review raw reporting data submitted by program team and collate initial full report drafts; analyze reporting data quality and solicit inputs from program teams on reports’ content.
  • Ensure that OTIS is up-to-date on due dates and upload all submitted reports on OTIS and Shared Drive; File submitted reports in the hard copy folders.
  • Assist Grants Managers and Grants Coordinators in the preparing of Project Opening, Implementation and Closing meetings, as well as monthly/regular grants management meetings (BVA meetings) which include representation from each unit (finance, programs, logistics) and ensure proper follow up of issues raised.
  • Support in collating, printing and acquiring signatures for quarterly and annual government reports, file both in soft copy and hard copies of all government reports.

    3. Donor & Government Compliance

  • Conduct desk research on donor rules and regulations for new opportunities or existing grants, as needed. Collaborate with Grants Coordinators and
    HQ teams in researching compliance procedures for active grants.

  • Draft Compliance Cheat-sheets, as needed.

  • Create and update regularly electronic and hard copy files related to assigned proposals and grants.

    4. Communication and Information Management

  • Keep an updated inventory of all communications related to programs/donors and ensure communication and visibility requirements are met.
  • Edit assigned documents in English for clarity of expression and grammar.
  • Take meeting minutes and draft lessons learned and other communications pieces, as assigned.
  • Facilitate topic selection and facilitator assignments for Grants Team Meetings.
  • Disseminate weekly and monthly trackers (Grants tracker, BVA Burn rate etc).

    5. Administrative/Other

  • Support Grants Managers and Grants Coordinators in keeping an accurate and up-to-date Grants/Proposals Filing system on the Shared Drive, on OTIS and in hardcopy folders in order to ensure documents are easily accessible for the day-to-day work of the Grants team and for internal and external audit purposes.
  • Support other projects, initiatives, work streams and any other work, as assigned.

    Job Requirements:

  • 3 years of relevant work experience for diploma holders and 1 year relevant work experience for first degree holders.
  • BA degree required.
  • Minimum of 6 months IRC internship service is advantageous
  • NGO experience is a plus.
  • Advanced MS Excel and Math skills required.
  • Fluent English, written and spoken, is the most important requirement for this position.
  • Fluent Amharic required.
  • BA degree required.
  • Previous experience with donor proposal development, budget develop or financial report development is an advantage.
  • Good communicator with strong organizational, time management and analytical skills.
  • Excellent inter-personal, cultural and diplomatic skills.
  • Flexibility to adapt to changing requirements.
  • Ability to juggle competing priorities, meet demanding deadlines and work under pressure in unstable security environments.
  • Strong computer skills required.
