Background
Under the general supervision the Emergency Field Operations and Supply Officer and under the direct supervision of Senior EPC Admin Assistant, successful candidate shall be responsible to carry out duties related to the organizations.
The EPC Admin Intern will support in facilitating all administrative and logistical matters related to the mission’s shelter, NFI, DTM, Transition and Recovery activities as assigned by the Senior EPC Admin Assistant.
Core Functions / Responsibilities:
Under the general supervision of the senior EPC Admin Assistant, the EPC admin assistant will be supporting shelter/NFI, DTM, Transition and Recovery sub-departments by liaising with Procurement, Finance, HR, and Logistics units of IOM Addis Ababa to ensure that requests from the field operations are met in the required timelines.
Support in preparation of Purchase and Payment requests as per the units need.
Ensure the tracking and follow up of PRFs and PRs on timely basis.
Processing and follow up on legal issues (agreements, etc.) based on unit requests.
Facilitating HR related issues like SRF, HR action forms, DRFs for Addis or field engagements of temporary staffs and consultants.
Facilitating new staff set up and orientations (flight/pick up, email account creation, ID processing, UNDSS security briefing, etc).
Support to PMs and consultant/seconded staff on personal administration including contract processing.
Facilitating staff logistics like Travel authorizations, Security clearances and flight booking support to EPC PM’s including EPC Program Coordinator, Project Managers, Consultants and Seconded staffs
Perform other duties that may be assigned.
Job Requirements
Educational Qualification
University degree in Social Sciences, Business Administration, or other relevant field is required.
Experience
A minimum of 1 year of progressively responsible experience preferably in humanitarian context in Ethiopia.
Proven experience in record keeping, reporting and project implementation.
Ability to coordinate project activities with input from colleagues and external partners for the achievement of results.
Ability to prepare clear and concise reports.
Ability to develop project strategies and activities based
on identified needs.
Ability to build relations with local government authorities, civil society, beneficiaries and other stakeholders.
Ability to work independently according to established structures and guidelines, including administrative requirements, and maintain coordination with colleagues and supervisor.
Personal commitment, drive for results, efficiency and flexibility and
Ability to work effectively and harmoniously in a team and with colleagues from varied cultures and professional backgrounds.
Languages
Thorough knowledge of spoken and written English is required.
Knowledge of local languages is an advantage.

In all cases, a prerequisite for taking up the position is legal residency in the country of the duty station, or in the neighboring country located within commuting distance, and work permit, as applicable.
