HR activitiesRecruitmentResponsible for posting local vacancies at the field level office and collect applications for all field level recruitments.
After categorizing them based on posted position and longlisting all the applications, provide it to technical managers for shortlisting.
Identify vacant position, and organize assessment methods and involve in recruitment and selection process with related department members and produce all the required reports.
Ensures that all new hired staffs’ Inductions’ is scheduled and conducted with the relevant department in Addis level as well as in the field office.
Maintains staff personal files (which should include all the required documents as per the staff file checklist) and update as required.
Follow up and ensure that all staff files are with updated and signed JDs, and also staff performance appraisals are done in a timely manner.
Contract and Timesheet Management
Facilitates the preparation and timely completion of staff contracts for field office staff and follow up on the approval and receiving of original copy to employee and field office.
Ensures assigned field offices employees have valid Employment contract on the file (which entails proper employment contract management).
Reminding supervisor on staff contract renewal/expiring using a tracking sheet.
Facilitates timely collection of timesheet for the project office staff and send the scan copy and hardcopy to HR country office.
Administration task
Overseas all administrative system within the project site and provide admin support
Supervising the cleanness of office compound and guest house in the field office.
Responsible to follow up on office and guest house lease agreement approval or extension from HR/Admin department at the country office and maintain the document.
Receives visitors and guests on behalf of the organization and arrange guest house booking as required.
Facilitates staff movement/travel between Addis/field which includes booking and settling the periodic bill as per the policy.
Facilitating telephone, water, electricity and office utility bills, on monthly basis and settle the bills as required.
Receiving incoming calls and transfer to concerned department and taking messages if not available.
Receiving and sending fax messages and distributing to the concerned department.
Making outgoing calls to different project site and organization as requested
Facilitates the process of registration and notification of
staff with Pension Agency.
Assists the management of employees’ grievance based on the IMC manual and Ethiopian Labor Law.
Maintains and updates leave records for all national staff and ensures monthly leave report is updated.
Collecting medical claims from the staff after checking the relevant receipts and document have been received.
Following up all medical claims are settled or communicate the focal person from Addis HR level on the pending medical claims.
Responsible on exit process which includes managing clearance, final payment, work certificate, insurance exclusions, etc.
Trainings and compliance task
Responsible on collection and providing staff personal information using HR forms from all newly hired staff including family members details for insurance and cost point data entry information to country office HR and Admin department.
Assist on organizing online/offline HR mandatory training using the link http://learn.internationalmedicalcorps.org/ or offline document to all staff and report on tracking sheet on monthly basis and follow up on those who did not take the necessary training.
Responsible to follow up on PSEA training conducted to all new comer and refreshment training to all staff once in a year.
Making sure all work place posters are posted at all the required field office.
Assist on monitoring compliance with policies, standards and guidelines of the organization.
Performs any other related tasks as assigned by the supervisor.
Job Requirements
Requirements/Qualifications
Degree in Management, Human Resource Management, Business Administration or Diploma in the listed fields with a minimum of 2 year NGO experience in similar position
Maintain polite and good communication with Colleagues & International Medical Corps visitors.
Ability to articulate in a clear and concise manner.
Excellent interpersonal skills and the capability to work with other.
Proficiency in computers.
Good command of English and Amharic is required. ability to speak the Local language is a plus
