Job Purpose

To transport the CEO, official guests, staff, materials and maintaining ITC vehicles in clean and good working condition. Assist in providing clerical services, receive and deliver correspondences, support the Board Administrator, supervisors and other staff effectively and efficiently.

Major Duties & Responsibilities

Transport the CEO, College guests, ITC Staff, and materials

• Transport the CEO safely and efficiently.

• Transport staff, visitors, partners as approved by the supervisor safely and efficiently.

• Collect and make deliveries of documents and goods as instructed by the supervisor and maintain records of such deliveries

Service Vehicle Maintenance Management

• Perform minor repairs and arrange regular maintenance and cleanliness of ITC vehicles.

• Keep track of the general maintenance schedule, including tyre condition and report maintenance needs to the Supervisor.

• Visual check-up of all vehicle liquids and body panels for efficient functionality.

• Perform any other duties that may be assigned by the Supervisor.

Log Movements, Expenses and Time

• Maintain the vehicle log book and trip lists, fuel vouchers fully updated and accounted for.

• Regularly and accurately record and log in all movements.

• Request fuel using fuel vouchers as approved by the department and billing coded.

• Prepare records and accountability of used spare parts and other consumables.

Mail

Procedure

Sort and distribute communications in a timely manner.

Carry and deliver mail and files to the CEO’s office and ITC staff internally and external institutions as directed.

Administrative work

Carry out some clerical work as may be directed by the supervisor and the Board Administrator.

Key Performance Indicators

Efficient transportation services

Clean and tidy vehicles

ITC Vehicles well maintained and serviced.

Records and accountability of fuel and other consumables and spare parts.

Updated log books.

Efficient fuel supply at all times.

Minimum Qualifications:

Uganda Advanced Certificate of Education

Valid Driving Permit.

Minimum Experience:

One year of relevant experience in a similar position in a reputable organization or government institution.
