Job Purpose

To support the department in ensuring that the ITC has sound financial management system and that complies with relevant laws, regulations, standards, policies and procedures and that the College’s assets and resources are properly utilized.

Major Duties & Responsibilities

• Post transactions in the Accounting System in a timely and accurate manner.

• Physically and electronically file all financial transactions in an orderly manner to ensure that they can be easily retrieved as and when required.

• Ensure that supporting documents for payments have got prior approvals, are complete and accurate prior to preparation of payment vouchers.

• Receipts payments from all forms fees and other cash/bank payments, issues a receipt to payee and posts the transaction into the accounting system.

• Prepare bank reconciliation statements monthly and submit to the Senior Accounts officer for review and approval.

• Reconcile all other accounts such as receivables, payables, investments etc.

• Consistent reminders to debtors of their financial obligations with the ITC

• Process payments for office operations in line with the College’s procedures and guidelines.

• Provide detailed accounting information as may be required by the supervisor.

• Files/submits PAYE, WHT, VAT, LST, NSSF and any other returns to the relevant authorities and ensures corresponding payments are made in a timely manner.

• Prepare and deliver WHT Certificates to professionals from whom taxes are withheld.

• Follow up staff to ensure that activity advances are fully accounted for with valid and proper supporting documentation and retired in the accounting software.

• In consultation with the supervisor ensure that all payments are within the approved budget

• With guidance from the Supervisor, set personal goals and performance plans, participate in regular feedback sessions and appraisals.

• Perform any other duties as may be assigned from time.

Key Performance Indicators

  • Transactions are accurately and timely posted in the accounting system.

  • Physical and electronic
    financial transactions are filed in an orderly manner and easy to retrieve when required.

  • All supporting documents for payments have got prior approvals, are complete and accurate.

  • Receipts are issued for payments from all forms of fees and other cash/bank payments.

  • Monthly bank reconciliation statements are prepared, reviewed and approved by the supervisor.

  • All other accounts such as receivables, payables, investments etc. are properly reconciled.

  • Payments are processed in time and are in line with the College’s procedures and guidelines.

  • Provide detailed accounting information as and when required by the supervisor.

  • Timely submission of PAYE, WHT, VAT, LST, NSSF and any other returns to the relevant authorities and ensure corresponding payments are made.

  • WHT Certificates are prepared and delivered to professionals from whom taxes are withheld.

  • Activity advances are fully accounted for with valid and proper supporting documentation and retired in the accounting software.

  • All payments are within the approved budget.

    Minimum Qualifications:

  • A minimum of a degree in Accounting, Business Administration, management, Finance or related field

    Minimum Experience:

  • At least one years’ relevant work experience from a reputable institution.

    Competencies and Knowledge:

    • At least 1 year experience in a similar or related position

    • Good Listening and Communication Skills.

    • Excellent People/Interpersonal Skills

    • Excellent oral and written communication skills.

    • Excellent Computer Skills, Knowledge of Microsoft Office

    • Proficiency in QuickBooks accounting Software
