Job Purpose Summary:
The Logistics intern works under the supervision of the Logistics Coordinator.
S/He is responsible for facilitation of logistics, procurement and transportation activities.
The Logistics intern represents the organization to suppliers and the department to other staff members.
As such, s/he is expected to adopt a professional customer based attitude, promoting International Medical Corps and Logistics Department’s image.
Core functions and Responsibilities:
In charge of assisting in the correct implementation of procurement guidelines, the Logistics intern will actively strive to keep apprised of International Medical Corps Logistics & Procurement procedures and guidelines.
Procurement
Assist in executing duly approved purchase requests while following and documenting due International Medical Corps procurement process.
Provide practical feedback on turnaround time and procurement process.
Assist in updating regularly the Procurement Tracking Sheet.
Assist in document receipt of procured goods/services using GRNs/SRNs and delivery notes.
Ensure timely submission of payment requests to finance after delivery of goods and services.
In coordination with the Logistics team, the Logistics intern will carry out market analysis, screen and record suppliers through Bridger Insight and other IMC and Donor guidelines.
Assist in maintain and updating vendor lists on quarterly basis
Assist in maintenance of contract and Blanket Purchase Agreement schedules for each contract including start/end date and payment schedules
Asset Management and Insurance
The logistics Intern will assist with asset management functions such as documentation of asset handovers and transfers.
Assist in facilitating insurance of newly procured assets as well as updating of the insurance and inventory lists.
Assist with physical verification exercises and flag for disposal, any damaged or obsolete assets.
Fleet Management
Assist in managing, updating and tracking of vehicle maintenance schedule and ensuring that vehicles are repaired and in safe and efficient working order
Assist with vehicle movement documentation i.e. checks vehicle logs to ensure proper documentation of movement.
Assist to review and analyze fuel consumption records
per vehicle, flag any concerns and take the necessary corrective actions.
Work with Transport Officer to ensure that vehicles are legally compliant and have all necessary legal documents.
Assist in Generating monthly fleet reports
Assist in coordinating transport requests to ensure efficient use of scarce resources.
Reporting
Work closely with the logistics coordinator to prepare Monthly and Quarterly logistics reports.
Compliance to all relevant International Medical Corps policies and procedures with respect to child protection, code of conduct, fraud, health and safety, equal opportunities and other relevant policies.

Required
A degree in one of the following field or related: Business/Trade, Supply Chain, Management.
Knowledge of MS Excel and Word.
Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Outstanding organizational and problem-solving skills, analytic & pragmatic.
Ability to cope with stressful situations and work with limited resources.
Profound cross-cultural awareness.
Excellent ability to handle multiple tasks and many administrative details in a fast paced and constantly changing environment.
