The Position: The International Livestock Research Institute (ILRI) ILRI seeks to recruit a Facility Supervisor to oversee the basic maintenance of ILRI facilities (primarily office space, labs, residences and recreational facilities) and grounds of the ILRI Ethiopia campus and related assets.
S/he communicates with customers to understand their needs, supervises the time, cost and quality of work, and communicates back with customers to ensure customer satisfaction.
S/he is also responsible for implementing an environmental protection and enhancement strategy as well as the maintenance, development and environmental protection of landscaping and grounds of the campus, the management of space, and the supervision of custodial services. S/he contributes to the planned, preventive maintenance and fixed asset replacement strategies of the unit.
General: The International Livestock Research Institute (ILRI) works to improve food and nutritional security and reduce poverty in developing countries through research for efficient, safe and sustainable use of livestock.
It is the only one of 15 CGIAR research centres dedicated entirely to animal agriculture research for the developing world.
Co-hosted by Kenya and Ethiopia, it has regional or country offices and projects in East, South and Southeast Asia as well as Central, East, Southern and West Africa. http://www.ilri.org
Main duties & responsibilities:
Supervision and Management
Coaches and mentors staff and contractors under his/her supervision to build capacity for quality. Provides documented feedback of performance on a quarterly basis;
Provides input for annual planning including towards planned preventive maintenance schedule and priorities, fixed asset replacement plan and capex;
Supports the continuous improvement process;
Coordinates with civil and electrical engineer as well as other team members as required;
Ensures all jobs are properly recorded and closed in CAFM;
Performs other tasks as assigned.
Supervises the implementation of job cards related to basic facility maintenance in offices, labs, hospitality areas and residences to ensure work is completed at an international standard in terms of quality, the work is completed within the estimated cost, and within the time schedule.
(This includes basic repair work, routine plumbing, basic PPM works, painting, gutters etc… Works requiring oversight of a civil engineer will be referred to the civil works supervisor;
Communicates with stakeholders to ensure the job is understood prior to the work, and to ensure the stakeholder is satisfied when the work is completed;
Provides estimates for job cards for basic maintenance requests;
Plans and presents the team’s daily work, schedules work to ensuring proper distribution of assignments and adequate staffing, space, materials and facilities for performance of duties;
Supervises custodial services including janitorial services, drinking water distribution, waste management and recycling;
Develops and maintains a master plan for environmental stewardship in consultation with EOHS and relative experts;
Develops and maintains a landscaping master plan for the beautification of the campus;
Supervises the landscaping, gardening and grounds contract to ensure work is completed at an international standard in terms of quality, the work is completed within the estimated cost, and within the time schedule.
Ensures environmental best practices are implemented in LGG services;
Oversees tree and plant management throughout the campus. Assist EOHS with wildlife management;
Implements elements of
the environmental stewardship and landscaping masterplans in consultation with supervisor;
Ensure comprehensive and detailed Terms of References are prepared;
Monitor performance for quality, timeliness and cost. Provide documented feedback in coordination with the Supply Chain Unit on a quarterly basis;
Verify deliverables;
Ensure contractors/consultants are paid on time;
Ensure ongoing contracts are renewed or rebid in good time;
Manages office space ensuring office space is optimally utilized. Maintains lists of requests and fulfils requests in consultation with supervisor;
Ensure that all spatial information is documented in a proper CAD format and linked to the CAFM software;
Monitor any changes regarding space including room use, functional category, shared use, dimensions, etc.…, and maintain Space Inventory Information;
Upon completion of physical changes/remodeling, review and verify a final floor plan submitted by designer/contractor and certify as an accurate rendering of the final space to be used as a reference tool for key requests, future maintenance requests, and when conducting audits;
Shall be responsible for assigning and/or verifying unique room codes, analysing functional use of space, verifying measured space, verifying room types, researching prorated use of institutional space, recording room capacity and reviewing accuracy of floor plans;
Maintain and/or prepare periodic space surveys (the data consisting of a listing of rooms with all current room codes, proration, area, capacity and unique alpha or numeric designation is verified);
Analyse space information and providing technical data, space availability information, and space use standards to the campus community, especially upper level management, for use in making space allocation and reallocation decisions.;
Minimum Requirements
BSc degree or MSc degree in Civil Engineering/Architecture or related fields, professional certification
Strong written and verbal communication skills in English and Amharic.
Consistent attention to detail, numerical accuracy with strong organizational and administrative skills and meeting deadlines
Strong interpersonal and customer service skills
Strong Excel, Word, PowerPoint. Experience with AutoCAD and CAFM or other facility management software preferred.
Ability to perform under pressure.
Reliable team player and customer oriented with good interpersonal skills
Ability to work in a multi-cultural environment.
BSc degree with 5 years’ experience or MSc degree plus 2 years’ experience in facility management
Duty Station:
Addis Ababa.
Job level: 2D
Monthly Base Salary: Birr 24,572 (Negotiable depending on experience, skill and salary history of the candidate)
Terms of appointment:
This is a Nationally Recruited Staff (NRS) position, initial appointment is for three years with the possibility of renewal, contingent upon individual performance and the availability of funding.
The ILRI remuneration package for nationally recruited staff in Ethiopia includes very competitive salary and benefits such as life and medical insurance, offshore pension plan, etc.
