Job DescriptionTerms of employment: Until December 31, 2019
Responsibilities Managing vehicles and use and the management of any other means of transport in line with internal regulations and the security plan
Implementing rules for the management of vehicles and other means of transport
Managing the planning, allocation and loan of vehicles on a weekly and monthly basis and disseminate the planning to everyone on a weekly basis
Managing the planning and allocation of drivers on a weekly and monthly basis
Managing optimal maintenance of the vehicles
Monitoring of vehicle use and fuel consumption and report monthly
Following all inland transportation and ensure that necessary logistic documents are travelling with the material.
Arranging guests travel and accommodation including airport pick up and drop
Managing general services (offices, expatriate staff accommodation and storage facilities) and daily use of equipment
Seeking and identifying potential premises for rent
Managing the fitting out, servicing and maintenance of the premises and equipment and report on the work undertaken & cost to the LM
Making sure that internet, telephone, water & power supply are available and functional in all premises in Addis and is responsible to maintain and provide solution when there is a problem
Following up the security of the premises (locks, guards, lightning, communication means etc.)
Managing technical/office equipment to provide sufficient means for the smooth-running of the program
Implementing equipment management procedure and complying with rules and procedures defined.
Managing all IT issues and implementing the IT charter.
Managing servicing and maintenance of equipment.
Updating the equipment monitoring chart in real time and ensuring the quality of the data it contains and carry out physical inventory every 6 months.
Managing Addis Ababa logistics support team to develop the team’s autonomy and performance
Supervising the logistical support functions team (drivers, guards, cleaning staff), setting objectives
and carrying out assessments of direct reports
Preparing monthly planning for each staff and compile the planning per function and share it with Logistics Manager
Administrative and financial management in area of activity
Drawing up the budget estimate related to logistics and send monthly cash forecast to finance on this budget
Filing and archiving of everyday logistics documents
Reporting
Preparing the vehicle fleet monitoring, equipment monitoring chart and monthly logistics reports for Addis.
Job Requirements
Education :
Diploma in logistics management, purchasing and supplies management or related field
Experience:
A minimum of 3 years in logistics and related fields
Previous NGO experience is advantageous
Competencies
Demonstrable understanding of vehicle management, administrative services management and transport management.
Good knowledge of computer application specially Microsoft Word, Excel, outlook express and internet
Personal qualities:
Pay attention to detail, accuracy and exact evidence
Fluent in English and Amharic
Very good interpersonal and communication (oral & writing) skills
Very good organizational and time management skills required to meet deadlines.
Ability to work independently and also as part of a team.
Ability to travel to the field.
