    Purpose of the Role

    The Regional Human Resources Coordinator performs professional and special project function on operational support Greenpeace country offices excluding South Africa.

    S/he will serve as the Lead Recruiter for middle to junior level roles for the Africa countries for Greenpeace in East, Central and West Africa.

    The incumbent will play a coordinating role for the recruitment of senior level positions.

    S/he will also provide technical HR support services to projects and activities in the said regions in key HR functional areas including but not limited to;

    Main Responsibilities

    Working closely with the Human Resources Director, the Regional HR Coordinator will be responsible for:

    Recruitment:

  • Build a strategic talent resource plan for the region that reflects short and long-term employee needs and an approach to manage full-time employees, project-based employees, and consultants in one coordinated approach.
  • Establish a strong rapport with hiring managers at the region and field offices to understand their strategic staffing needs, priorities, constraints and fill vacancies in a timely and efficient manner.
  • Proactively build the East, Central and West Africa Region’s talent pipeline and a network of potential candidates by identifying, screening, interviewing and assessing candidates for current and future organisational development goals.
  • Ensure on-boarding of new hires; employee orientation is effectively conducted, to ensure employees are productive from day one in the listed countries, and working with managers to ensure employees have commitments/objectives set within their first month on the job.

    Employee Contracting:

  • Ensure pre-employment requirements are conducted and personnel files with documentation according to HR checklist is opened for new staff and completed on a timely basis.
  • Management of the staff contracting process including drafting employee contracts based on the agreed terms from the remuneration and benefits structure.
  • Working with the counterpart HRBP to ensure that the right type of contract is issued to the staff.
  • Flag and monitor employee end of probation appointments and coordinate with their managers on their confirmation letters after the probationary reviews are received.
  • Provide employees with confirmation letters of appointments for travels or any other purpose as approved by GP Africa for staff within the countries of coverage
  • Ensure that GPAf job profiles and competency profiles are reviewed and updated in line with staff expected deliverables for the countries except for SA.
  • Ensure that the countries run a robust performance management system that creates accountability towards the organisational objectives
  • Working with the HR Director and the managers in managing employee underperformance issues including performance improvement plans
  • Design and implement career management plans for staff together with the HRD. Communicate, educate on and monitor resulting processes and cycles.
  • Working with the HR Director to design and implement development programmes for graduate internships and mentorship programs that are relevant and support GPAF strategy.
  • Working with the South Africa HR counterparts, conduct regular reviews and analysis to ensure L&D interventions are responsive to organisational strategic objectives.
  • Promote and initiate processes and system that strengthen employee engagement and morale issues within the countries
  • Work closely and training managers on promoting a workplace of passion and inspiring to staff.
  • Ensure employee disciplinary processes are
    policy driven and uphold fairness and justice to employees

    Coordination of Regional Benefits Administration:

  • Keep abreast of the developments in the HR and benefits trends and advice on the same within the countries except SA.
  • Working with the HR Director, manage the regional administration of staff benefits of all categories including retirement benefits, Group life insurance, death benefits, temporary disabilities, medical insurance, injuries on duty and workman’s compensation, staff salary advance for the region

    Management of Staff Files and records:

  • Manage the creation and storage of all employee files and documents and ensure that they are well secured but accessible on need in Kenya and other countries within the region.
  • Develop and maintain shared directory which houses all letters, forms, checklists, procedures, protocols and useful information for reference.
  • Ensure timely, accurate and efficient payroll management in Kenya.
  • Ensure employee payroll data integrity through implementation of controls. Ensure payroll compliance through management of external vendor resource where applicable.
  • Ensure records and procedures for payroll transactions are well adhered to.
  • Design, implement and promote the employee assistance program for GPAf. Consult with all relevant stakeholders in the organisation of the appropriate and desirable employee wellness initiatives.

    Qualifications and Experience

    Qualification(s)

  • This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast-paced environment.
  • Bachelors Degree in Human Resources or equivalent qualification.
  • Additional Professional Qualification in Human Resource Management,
  • Proven experience in a similar role with at least 5 years’ experience preferably in the NGO sector within a regional setup supporting multiple country offices in East, West and Central Africa .
  • Strong working knowledge of and experience in international and local national HR,
  • High level of tact and diplomacy, and the ability to use appropriate styles and methods of communication to ensure a professional customer service to diverse consumers of HR services at the regional and country offices.

  • Experience in human resources management with deep experience working across the full HR Value Chain
  • Excellent knowledge of employment legislation and regulations within Africa

    Other desirable requirements

  • French speaking is highly desirable
    Solid organizational skills as well as the ability to be flexible and work well under pressure in a fast-paced multi-tasking environment.

  • Ability to organize multiple tasks, prioritizing and delegating appropriately and saying “no” or finding alternative solutions when appropriate
  • Proven ability to remain calm, focused and organized and to deliver results on time when under pressure and with rapidly changing circumstances.
