Job Summary
The Armauer Hansen Research Institute (AHRI) was founded in 1970 through the initiative of the Norwegian and Swedish Save the Children organizations seconded by the Ministry of Health of Ethiopia.
The Institute got its name from the Norwegian physician, Gerhard Henrik Armauer Hansen, who first described the leprosy bacillus (Mycobacterium leprae).
AHRI is a biomedical research institute that works in developing tools for prevention, control and treatment of mycobacterium and other diseases of public healthy importance through applied and basic biomedical research and training.
With the goal of stimulating innovation in health, an area that was starving for new ideas and to generate evidences and breakthroughs, Ethiopia has launched a program called Grand Challenges Ethiopia, joining a growing family of similar Grand Challenges programs across the globe.
It is based within AHRI to oversee overall activities of a broader range of researchers. In order to support the coordinator and the secretariat of Grand Challenges Ethiopia, AHRI looking for a competent person who can positioned as a Grand Challenges Ethiopia program Assistant.
Detailed Responsibilities
Develops and maintains an efficient filing system, including assistance in processing calls for proposals
Maintains a tracking system of responses to proposals;
Maintains and updates databases and mailing lists using the Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook Exchanger
Coordinates the preliminary review of protocols, proofreading and editing of correspondence as required;
Follow pipeline information and generates Crystal reports as required
Organizes regular Grand Challenges Ethiopia task force meetings and conference calls
Takes minutes of regular Grand Challenges Ethiopia task force meetings and other meetings with the assistance of and coordination with the Grand Challenges Ethiopia coordinator
Assists the IT Officer to maintain and update the initiative web site, and on a required basis, carries out specific web searches and downloads workshop documents/registration
Liaises with Grand Challenges Ethiopia task force members as
required, and provides assistance to them
Assists in the orientation of Grand Challenges Ethiopia grant prospect applicant, recipients and Collaborators by providing them with the necessary documents and materials for orientation; and
Assist work activities, meet deadlines, and provide support where needed; and Performs other related duties in accordance with instructions from team leader.
Maintains confidential records for the Grand Challenges Ethiopia
Acts as the main contact person during the absence of team members and following-up on any emergencies
Acknowledges receipt of correspondence and documentation and drafts preliminary versions of correspondence
Assists other team members in preparing and formatting documents
Maintains and regularly updates travel plans and budget amounts to provide an accurate overview of the Program’s travel budget
Reconciles travel expenditures for all team members and submits them for authorization and payment.
Liaises with and assists grant recipients and consultants as required to ensure smooth functioning of activities
Coordinates and disseminates all internal and external material, including publicity and background documents for local and international events; coordinates appropriate mailings or distribution
Prepares training kits or information packages and sends material to participants in a timely manner

Preferred Education and Experience
Master degree in social science
Background in communications, office management, journalism or related field.
Previous 2/two/ years work experience in project support, and Non-Governmental work experience
