Role Overview

The Administrative Officer will provide operations and logistics support in the development, review and implementation of robust administrative policies, practices, and systems in order to realize AFIDEP’s vision, mission and strategic objectives.

The successful candidate will also be responsible for day-to-day delivery of responsive, effective, and efficient administrative activities and procurement in line with AFIDEP procurement and disposal procedures.

Responsibilities

  • Oversee overall facilities services, maintenance activities and tradespersons in liaison with the landlord

  • Manage operations and logistics for major organizational events

  • Plan, coordinate, and streamline administrative procedures and systems

  • Recruit and train personnel

  • Assess administration staff performance; provide coaching and guidance to ensure maximum effectiveness

  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations

  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

  • Monitor administration costs and expenses to assist in budget preparation

  • Keep abreast with all organizational changes and business developments

    Skills and Experience

  • Professional experience supporting an organization in an administrative, operations or human resources role*

  • Familiarity with financial management practices*

  • Master’s degree
    in business administration, public administration, or related field

  • Prior experience in administration in the INGO sector

  • Prior experience in project management

  • Prior experience in procurement

  • Analytical and critical thinking

  • Demonstrates sound judgment

  • Ability to work with minimal supervision, results-oriented, accountable, and attentive to detail

  • Demonstrates persistence when faced with difficult problems or challenges

  • Excellent organizational skills, with the ability to work under pressure

  • Excellent team player with good interpersonal relationship

  • Excellent communications skills with internal and external stakeholders

  • Strong writing skills

  • Strong ability to multitask with an eye for detail and high level of accuracy

  • Understanding of current trends in the development sector
