The Global Alliance for Improved Nutrition (GAIN) was launched at the UN in 2002 to tackle the
human suffering caused by malnutrition.
GAIN is a global, Swiss-based foundation that mobilizes public-private partnerships and provides financial and technical support to deliver nutritious
foods to those people most at risk of malnutrition.
Our programs in Africa and Asia enable better
diets via nutritional products, such as fortified staples foods, including cooking oil and flour, and
condiments like salt and soy sauce.
We also support improved maternal and infant health by promoting breastfeeding and specialized products for infants over six months and young
children.
In addition, we partner with local businesses to improve the quality of food along agricultural value chains.
By building alliances that deliver impact at scale, we believe malnutrition can be eliminated within our lifetimes.
Description
Overall Purpose:
We are looking for a responsible Administrative Assistant to perform a variety of administrative
and clerical tasks.
Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our organizations general administrative activities
Tasks and Responsibilities:
Office administration, establishing systems and processes
Prepare account payables documents (e.g. Invoices, payment requests) for approval.
Order office supplies and make appropriate and timely local payments.
Manage all petty cash expenses.
Oversee the proper upkeep and maintenance of office premises and working facilities like
telephone system, photocopying machines and furniture to provide the best possible physical environment for staff to discharge their duties.
Organizes logistics of meetings and workshops for GAIN program, including travel
arrangements.
Manages documents filing and develops office administrative procedures as required.
Focal point for all logistical assistance e.g. drafting invitation letters, hotel bookings,
Answer Direct phone calls to the office land line
Produce and distribute correspondence memos, letters, faxes and forms
Ensure operation of equipment by completing preventive maintenance requirements;
calling for repairs; maintaining equipment inventories; evaluating new equipment and
techniques
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Organize conference calls , meetings and takes notes during GAIN Kenya internal meetings
as required

Job Requirements
Competences (Skills and Attributes)
Good interpersonal, organizational and oral and written communication skills
Flexibility and availability to work outside regular working hours.
Proven experience as administrative assistant or office administrative assistant
Ability to prioritize and multi-task
Ability to work without close supervision.
Computer literacy with excellent` MS word, Outlook, PowerPoint, excel and basic
accounting skills.
Knowledge of office management systems and procedures
Experience:
Minimum 2 years in administrative support
Education:
Bachelor’s degree in relevant field
