Purpose of the Job

  • To maximize the front office management by contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.

  • Provide professional responses to client queries

  • Punctuality

  • Handle all phone calls in a professional manner

    Main Duties and Responsibilities

  • Greet clients and visitors with a positive, helpful attitude.

  • Assist clients in finding their way around the office.

  • Announcing clients as necessary.

  • Help and maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.

  • Assist with a variety of administrative tasks including copying, faxing, taking notes and making travel plans

  • Preparing meeting and training rooms.

  • Answer all phone calls in a professional manner, and routing calls as necessary.

  • Assist colleagues with administrative tasks.

  • Perform ad-hoc administrative duties.

  • Answer, forward, and screen phone calls.

  • Sort and distribute mail.

  • Manage and develop the junior reception team.

  • Provide excellent customer service.

  • Schedule appointments.

    Job Requirements

    Qualification and Experience

  • B.A degree in Management, Business Administration, Economics or related fields with four (4) years of demonstrated experience
    OR

  • Diploma in Management, Business Administration, Economics or related fields with six (6) years of demonstrated experience
