We are looking for a Support Officer to provide effective and efficient coordination within the Programmes team of Frontline AIDS. You will be confident in providing operational and administrative support across a range of different projects working within and across multiple teams. You are a committed team member with a clear focus on team objectives, as well as your own. You are comfortable working in a matrix management environment. You will share our passion for working with the most marginalised communities globally on HIV, gender, human rights and health.
Key ResponsibilitiesProgramme DeliverySupport programme delivery by administering Frontline AIDS procedures including project set up, implementation and close out processes, electronic filing and management of programme documents, budget amendment, sub-grant agreement and financial reporting procedures, processes for issuing consultant contracts, processing invoices and producing budget monitoring data and analysis for a portfolio of projects.
Maintain an overview of partner assurance and trust building activity and with support of Programmes colleagues, in line with the organisation’s Due Diligence and Partner Selection Policy.
Develop an online portal (Microsoft SharePoint) for safeguarding resources that can be accessed by colleagues and implementing partners, working closely with the Advisor: Programmes Safeguarding.
Manage the logistical arrangements for meetings, staff travel and accommodation including minute taking/reportage.
Maintenance of up-to-date filing systems, and championing the use of Salesforce as a means of creating a more streamlined, effective and efficient organisation.
Support to Programme Leadership
Coordinate the Programme Delivery Leadership Group that has oversight on performance across restricted projects managed by Frontline AIDS.
Support in knowledge management to ensure relevant information from programme delivery is shared with other parts of the organisation to improve efficiency and effectiveness.
Maintain records and data for forward planning of resource needs using an organisation-wide tool (Microsoft Float), providing analysis for the Head of Programmes and Lead: Programme Performance where required.
Support to Partnerships Work
Work alongside the Partnerships team in developing and maintaining the Innovation Hub, an online platform that captures and tracks innovative programming and advocacy efforts across the Frontline AIDS partnership.
This includes working closely with the Advisor: Knowledge Exchange in delivering on periodic work plans to update the Hub, ensuring timelines are met and high quality content is received from partners and posted accordingly.
