  • Reporting to the Council Secretary, the Personal Secretary will provide administrative and secretarial
    services support to the Council Secretary in order to assist the job holder to run the office smoothly.

    Duties and Responsibilities

  • Maintain the diary for the Council Secretary by planning and scheduling of appointments and
    meetings in order to avoid clash of programmes and offering appropriate support services

  • Prepare and manage correspondence, reports and documents

  • Receive visitors and guests on behalf of the Council Secretary and attends to all protocol
    arrangements to project a good image of the organization

  • Record minutes of Council Meetings and other official meetings

  • Take dictation

  • Type all official correspondence

  • Handle mail and filing

  • Make travel arrangements for both local and foreign official travels

  • File documents as per agreed systems and procedures to facilitate good record keeping

  • Coordinate some activities and affairs of the Council on behalf of the Council Secretary

  • Draw stationery and other office supplies from stores for use in the office

  • Draw, administer and account for imprest obtained for office use

    Minimum Qualifications and Experience

  • School Certificate or its equivalent

  • Diploma in Secretarial Studies & 100/ 55WPM

  • Three (3) years’ relevant work experience

    Other Requirements

  • Excellent computer skills

  • Excellent communication and written skills

  • Must have high levels of integrity and confidentiality
