Job overviewThe Grant and Finance manager will design and ensure the implementation of the Institute’s Grant and Financial policies and procedures consistently throughout each Program in order for the Institute to achieve its objectives. He/she will perform grant research, grant writing, grant program design and implementation, compliance and grant reporting.
He/she will maintain and regularly update HR related information. The Manager will also facilitate and coordinate the recruitment processes. He/She will be responsible for keeping all grant and financial documents, prepare financial records and reports and ensure the implementation of effective internal controlling systems.
Grant management support
Managing and supporting the grants requirement and implementation for the organization
Identify and develop strategies to optimize the grants administration process
Directly involve in grant writing by coordinating with grant writers or coordinators
Research for effective and authentic funding opportunities having a lawful registration and proven track record
Oversee if the grants are implemented according to the operational and financial needs of the organization
Keep the relevant staff informed about upcoming deadlines and deliverables, thereby ensuring smooth completion of work responsibilities
Prepare financial or budget plans and allocation along with the different donors , principal investigator and government bodies in accordance with each requirement
Analyze the budget trends and make recommendations for cost control and reduction for various grants
Provide detailed reports to the funders and the board of directors with respect to the organization's progress
Maintain records of all payments and receivables and prepare monthly records for all grant related activities
Provide training to the new staff on grants management and reporting requirements
Finance
support
Take responsibility for the implementation of the financial policies, procedures and systems
Execute approved budget on timely basis to ensure efficiency and effectiveness
Check if all payments prepared by the accountant are as per approved budget
Follow up proper progress of financial transaction such as recording and posting
Implement internal control system and risk assessment
Produce monthly, quarterly, semi-annually and annual financial reports
Make recommendations to the management for financial decisions
Make recommendation to improve existing systems and processes
Communicate with those who are collaborating with the Institute, including guest lecturers and representatives of partner organizations
Job Requirements
Master’s Degree in Business Management/ Business Administration/Accounting with a minimum 5 years’ experience on related assignment. Bachelor’sDegree with a minimum of 7 years’ experience
Ability to overview processes regularly, quickly and comprehensively and to recommend potential improvement
communication and analytical skills
Previous experience in Managing grants from US based organizations
Ability to work under pressure and to complete tasks in a timely manner
Outstanding report writing and communication skills
Excellent interpersonal skills and understanding of task and program objectives
Very good oral and written English and Amharic proficiency, additional language a plus
Possess excellent organizational skills
Ability to perform in cross-functional team approach and job responsibilities
Experience with basic financial management skills including developing and monitoring budgets and financial reporting
A multi-tasker with strong ability to work under pressure
Ability to prioritize work, meet deadlines and produce quality results on time with attention to detail.
Proficient in using computers with related knowledge of software programs
